Summary
We’re looking for an enthusiastic Office Operations Coordinator to support our Team Ops group. We recruit and onboard new team members, create an empowering work environment, put on all sorts of events (like HelloSign Olympics) and in general, make sure everything runs smoothly in the office for our team. If you’re a go-getter who wants to be part of building our Office Operations team from the ground-up, then we may be the perfect match! In this entry-level role, you’ll get to interact with all HelloSign interview candidates, guests and team members. You’ll have exposure into the behind-the-scenes operations of our company and be part of empowering our team from day one.
Responsibilities
**Office Operations:** * Serve as a primary contact for in office operations and logistical troubleshooting * Assist Office Manager in implementing new operation processes * Execute improvements to scale office operations as our team grows and needs become more complex during this phase of rapid growth. * Support Office Manager in planning and execution of small and large scale events * Own all things kitchen and food related; manage snack/catering vendors for lunch and event catering, setting up & breaking down lunch, owning kitchen cleanliness * Serve as receptionist for office and greet all guests with warmth and urgency * Manage and order supplies for the team * Receive mail, packages and distribute as necessary * Partner with creative team on internal swag and manage the ordering and restocking **Light Executive Assistant Support:** Provide occasional admin and scheduling support for our CEO/COO/CTO **Human Resources:** Provide support on a variety of HR and learning initiatives as needed
Ideal Candidate
* 1+ year of office operations experience * Enthusiastic, can-do attitude * Scrappy, resourceful, self-motivated and solutions-focused * Tech savvy and eager to learn new technology. Experience with Google Apps is a plus * Exceptional attention to detail and organizational skills with a focus on quality * Ability to juggle and effectively prioritize multiple tasks – knowing when to escalate issues * Ability to demonstrate patience in sticky situations and to help self and others calmly resolve hiccups * Ability to maintain confidentiality * Excellent verbal and written communication skills * Can easily partner and problem solve with all different personality types and work styles
