Summary
The Supervisor Sales Administration will manage the daily operations and workflow, and will provide supervision of the Sales Assistants and Open Enrollment Specialists. The position will be responsible to develop, train, coach and monitor the internal workflow in the receiving, documenting, and tracking of Requests for Quotes (RFQs) as well as the generation, release and tracking of quotes to achieve the overall goals and objectives of the department. Also, to include group installation support and the generation and tracking of the Group Service Agreements (GSAs), Group Sales Notification (GSNs), and Broker Group Information Sheet (BGIS). Training of all SALSA and Salesforce.com entries and reporting.
Responsibilities
- Manages the daily operations of large group internal sales to assure all contacts and RFQs are being handled according to department service. Monitors the daily contacts and RFQs and staffing to meet service goals; directing workflow and management of special projects. - Supervises internal staff by: Conducting quality monitoring of team members, auditing customer files; Analyzing service issue trends and call and e-mail volumes; Providing formal feedback and coaching to team members for the purposes of development and achievement of department standards. - Reviews and analyzes tracking reports to assess staffing needs and support continuous process improvement. Continually reviews project workflow and processes, recommending new or changed processes. Proficient in all sales applications FARE, SALSA, ABS, and Salesforce - Performs recruitment activities, annual performance evaluations and monthly quality and productivity profile of team members. - As department liaison, reviews procedure and policy changes as they may affect employer groups and brokers, determines impact on the staff and disseminates information to ensure quality consistency for all employer groups and broker contacts. - Maintains a comprehensive knowledge of all Health Net policies, procedures, products and services including departmental processes of Operations, Sales, Network Management, and Customer Relations. Maintains sales material inventory to ensure sales tools are available and updated for marketing efforts. - Handles escalated employer group and broker issues and resolves in a win-win manner and focuses on employer group and broker relationships and business retention. - Initiates training programs, provides service improvement recommendations and is responsible for developing materials, tools, and technology as needed. - Schedules open enrollment staff for client meetings.
Ideal Candidate
**Education** * Bachelor's or Associate's degree preferred **Certification/Licensure Required** * Valid California Life Only and Accident and Health Agent Insurance License issued by the California Department of Insurance (CDI) required within 45 days of hire. **Government Clearance and US Citizenship Requirement** * N/A **Experience Required** * Five years supervisory experience in the areas of Customer Service/Operations/Sales Account management * Or any combination of academic education, professional training or work experience, which demonstrates the ability to perform the duties of the position. **Knowledge, Skills and Abilities** - Strong leadership, interpersonal and presentation skills with previous coaching and team building experience required - Knowledge of insurance or managed care experience and PC skills and familiarity of Windows is highly desired - Ability to travel as needed; but minimally since job is primarily to manage processes in the office - Demonstrates ability to set priorities and meet deadlines - Must possess proven analytical/research/troubleshooting skills - Ability to professionally interact with internal and external contacts is essential - Ability to work off-hours with notice - Multi-tasking and independent prioritizing of numerous demands **Working Conditions** - Operates personal computers, printers, facsimile, telephones, copy machines and other commonly used office accessories/equipment. - Exposed to confidential information and expected to maintain confidentiality at all times; must adhere to HIPAA rules and regulations. - May be required to work outside of normally scheduled hours as mandated by the client, project and/or workload (e.g. evenings, weekends, and/or holidays) - May be required to maintain established work pace, meet deadlines; may have last minute urgent requests. - Physical activity may include: twisting, reaching, kneeling, bending, stooping, squatting, crawling, grasping, grabbing, pushing, pulling, repetitive motion, climbing, etc. - Required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned. - Required to have hearing ability to receive detailed information through oral communication - Required to have speaking ability to express or exchange ideas. - Constant concentration may be required on various subjects by listening, reading and thinking clearly. - Interaction with others may be required. May need to listen, think, and speak in order to interact with others. Business interactions and behavior between coworkers and/or external customers are required. This may require face-to-face or telephone interactions. - Thinking at work may include listening, learning, analyzing, evaluating, and the ability to interpret what is seen and/or heard, or to link information from one issue to the next. - Constant computer usage including typing and/or eye strain. - Constant repetitive arm, wrist, hand and finger motions -- making repetitive movements (e.g. key boarding, filing, data entry). - Significant phone usage; headsets may be required. - Moderate amount of time spent working in a loud office environment with frequent interruptions/distractions. - Constant sedentary work (desk bound or seated). - Constant reading is required via computer screen and/or bound printed materials.
