Summary
The Facilities Department is seeking a Facilities Clerk responsible for supporting the daily mail room operations for Gannett headquarters — meeting customer expectations for mail delivery, pick up and shipping … ensuring best rates and method with the highest level of customer service and accuracy. Position maintains customer relationships, to include synergies with the building’s mailroom, and keeps current on industry standards and regulations. The facilities clerk will also work with the facilities department team, reacting to shifting priorities, to support the general maintenance and day-to-day physical operations of the Gannett McLean, VA office.
Responsibilities
* Processes, tracks and delivers internal mail, packages and deliveries, reviewing for anything suspicious, in conjunction with the building mailroom, in a timely manner * Processes, tracks and delivers external mail and packages in conjunction with building mailroom: Pouches, USPS, Overnight Carriers, Certified Mail * Ensures mail meter machine, tracking software system, contracted delivery systems, MFDs and other equipment are kept in good working order * Researches unknown/missing mail to resolution * Schedules freight shipments * Up to date on postal regulations and shipment methods in order to provide accurate and appropriate information to customers * Maintains vendor relationships * Provides support as needed to include facilities maintenance and conference and catering; knowledge of AV systems helpful
Ideal Candidate
* High school graduate * Two to three years of mail corporate mailroom experience * Exposure to facilities, conference & catering and AV departments * Tracking software, mail machine, MFDs – usage and trouble shooting * Mail, package and freight shipment methods – knowledge of * AV equipment & services – knowledge of * Conference & catering, facilities – exposure to * Excellent written and verbal communication skills * Ability to work independently * Ability to troubleshoot * Excellent customer service skills * Self-starter who will look to enhance the internal customer’s experience * Proficient in usage of mailroom equipment and software * Proficient in windows-based software * Working knowledge of AV and MFD equipment a plus
