Summary

Provides administrative support to Bonded Management, Bid Coordination, and Project Coordination departments in clerical work, administrative functions, and daily business tasks by performing essential duties.

Responsibilities
  • Performs all duties and responsibilities according to the Mission and Core Values of the Company

  • Collects data, provides various reports and supports Bonded Management.

  • Downloads plans from various resources for the Bid and Project Coordination Departments.

  • Reviews various electronic plan rooms for projects and prepares bid set ups for new projects.

  • Tracks customer bidders on new bids as assigned by the Bid Coordinator.

  • Performs follow up communication with customers on projects bid to track the purchaser for the Sales Department.

  • Orders/Distributes supplies for Bonded Administration and Design/Estimating Departments.

  • Provides back-up support as needed for Bid and Project Coordination Departments.

  • Distributes incoming Bonded US Mail.

  • Distributes incoming Bonded faxes.

  • Creates submittal packages and distributes to Project Coordinator, Divisions, and Customer.

  • Sets up all new job folders for the Project Coordination Department.

  • Completes Vendor packets as requested by the Bid and Project Coordination Departments.

  • Requests and files insurance certificates from Bonded’s Insurance Agent.

  • Gathers information as needed for annual insurance renewal.

  • Data entry of reports provided by the Project Coordination Manager.

  • Requests tax exemption certificates.

Ideal Candidate
  • Pass a criminal background check & drug screen

  • Valid Driver’s License and Clear MVR

  • Possess excellent communication skills (oral and written)

  • Ability to multi task and detail oriented

  • Proficient in Microsoft Office programs (Outlook, word, Excel) with working knowledge of Electronic plan software and Internet software.

  • Associate's degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience
