Responsibilities
* Knows, understands, incorporates and demonstrates the mission, vision and core values of the comapny's policy's in behaviors, practices and decisions. * Performs entry level procurement (purchasing) tasks involved in procuring goods and services following defined processes, guidelines and polices. * Place purchase orders for supplies, equipment and services with vendors by telephone, Fax, EDI or by other computerized means. Purchases may involve specialty vendors and may involve complex delivery schedules and urgent requests. * Ensures orders are placed with correct vendors and methods of shipment and terms of payment reflect correct due dates, item specifications, pricing, etc. * Prepares and processes all required documentation pertaining to the purchase of the goods and services: item specifications, pricing and ascertains product availability, assess product unit of measure and packaging for accuracy, comments and necessary changes. * Research and expedite open orders based on Ministry Organization s direction. * Verifies order confirmations using a variety of methods (Phone, Fax, EDI, Web based * TH SPS Specialist v1.Doc 2 02/15/2012 * tools). * Process delayed orders according to defined processes. * Initiate backorder resolution and facilitate the expediting of approved product substitutes for customers. * Modifies purchase orders as necessary based on basic research in accordance with defined processes; direction from Senior Procurement Specialist, Team Lead or SCM in prescribed methods and ensures all information is documented in the ERP system. * Assists with the resolution of discrepancies or problems that prohibit timely ordering of goods and services. * Process product returns to suppliers using the ERP system. Assess problems relative to over shipments, duplicates, inaccurate shipments, and appropriate resolution according to policy. Coordinate physical return/replacement with the Ministry Organization s supply chain department. * Researches and resolves a variety of process issues related to procurement transactional activities, such as incorrect product information, vendor information, account information, etc * Identifies repetitive problems and works with Procurement Team Lead &/or Supervisor on corresponding process improvements. * Notifies the SCM Content Team of product specification changes, vendor's mergers and acquisitions, location changes, Ministry Organization account changes and contact information, etc. * Consults with procurement staff to proactively resolve product and vendor performance and product availability problems. * Maintains a working knowledge of applicable Federal, State and local laws, regulations and industry standards. Complies with Trinity Health s Organizational Integrity Program, Standards of * Conduct, as well as other policies and procedures in order to ensure adherence in a manner that reflects ethical and professional integrity.
Ideal Candidate
* Minimum High School Diploma. One to two years college preferred. * One to two years experience in purchasing or a related field required. Knowledge and experience of healthcare field preferred. * Must be able to effectively articulate packaging, pricing and contractual specifications in terms easily understood by various internal and external associates from a wide range of backgrounds. * Strong problem solving skills with ability to research problems and present findings. Ability to produce effective oral and written communications. * Must have proven prioritization and coordination skills, strong organizational skills as well as high level of initiative. Must be able to respond quickly and easily to change, considering new approaches and demonstrating comfort with unpredictable problems. * Ability to work independently and in collaboration with others. Ability to establish and maintain productive, positive working relationships with all levels of the organization in a large, multi-level, geographically dispersed organization. * Meticulous in attention to detail and skillful in data entry and typing. Minimum ability to type 35 words per minute. * Must have demonstrated knowledge of appropriate applications: Excel, Word and use of web applications. Knowledge of Lawson or an ERP application is preferred. **Physical and Mental Requirements and Working Conditions:** * Work will generally be accomplished in an office environment and must be able to operate a computer, telephone and other office equipment. Must be able to file and maintain office records. * Must be able to set and organize own work priorities and adapt to them as they change frequently. * Must be able to travel to the various Trinity Health sites (may or may not apply). * While performing the duties of this job, the incumbent is regularly required to sit for long periods of time; use hands to finger, handle, or feel objects, tools, or controls on computer; reach with hands and arms for phone and computer work; and talk or hear for extended periods while on the telephone. Incumbent occasionally is required to walk. * Verifies order confirmations using a variety of methods (Phone, Fax, EDI, Web based tools). * Ability to work independently and in collaboration with others. Must be comfortable operating in a collaborative, shared leadership environment.
