Summary
This position will provide full administrative support to the SVP of Promotion. The assistant will help to ensure the efficient day-to-day operation of the Promotion department
Responsibilities
* Screen and direct incoming calls and emails. * Coordinate access to and maintain schedules by planning and scheduling meetings, conferences, and teleconferences for the SVP. * Act as a liaison between both supervisor and a wide array of internal and external contacts including senior management, outside industry contacts, artists, artist managers, internal departments, etc. * Coordinate travel, entertainment and transportation arrangements for SVP. * Prepare business expense reports in a timely, accurate and efficient manner. * Coordinate and draft correspondence and presentations using MS Word, Excel, and PowerPoint. * Maintain mailing and e-mail lists, databases, files and other assets for the department. * Order and maintain music product, office supplies and tickets for the department. * Enter POs and process invoices. * Pull information daily from BDS Encore, Mediabase, Soundscan and other sources and create and distribute daily/weekly and monthly reports (including radio recaps) to the Company. * Assist with organization of meetings and events including location, set-up, catering, etc. * Mailing promotional materials to radio stations around the country. * Processing requests for product giveaways and contests from radio stations. * Provide back-up support for other members of the department as needed.
Ideal Candidate
* Experience in the music industry or related field. * BA in communications or related field * Ability to make decisions, produce results and think out of the box. * Communication skills; good organizational skills. * The ability to multi-task; detail oriented * Problem solver, great with people and outgoing. * Hard worker, consistent and reliable.
