Summary
To manage the day to day operations of the properties as directed by the owner and in accordance with the organization’s standards and procedures. To provide our clients - owners and tenants with the highest level of client service available.
Responsibilities
* Provide excellent communication to both owners as well as tenants to ensure an ongoing successful relationship. * Communicate effectively and frequently with the General Manager on all significant operating issues. * Prepare Annual Property Business Plan according to owner requirements. * Perform all duties as required by specific leases, including collection of rents, default notifications, and the continued performance of Landlord services. * Communicate to General Manager the terms of all leases by prompt and accurate filing of lease abstracts. * Responsible for financial control of the property, working with the property management and accounting team to: * Prepare monthly operating statements (and quarterly if required); * Issue operating cost escalation and tenant service request invoices; and * Collect payment for escalation or for special work performed. * Supervise, train and motivate on-site staff to ensure that they understand owner’s goals and objectives. * Understand critical nature of tenant’s operation and ensure that the building’s and tenant’s system operate in accordance with the design. * Inspect of all properties daily to ensure building operations are performing according to the organization’s standards and procedures. * Develop standard operating procedures for all areas. * Ensure that emergency evacuation procedures are in place and life safety systems are operating effectively. Prepare and distribute the Emergency Evacuation Procedure Manuals to all tenants. * Oversee all preventive maintenance programs and ensure that the information is entered properly in Maximo. * Prioritize day-to-day operations. * Assist with strong tenant communications to ensure long-lasting tenant relationships. * Manage tenant relations program. * Negotiate service contracts under the direction of the General Manager. * Coordinate all services and purchases to be in accordance with Annual Business Plan and specific spending guidelines. * Manage tenant improvement construction projects and capital improvements as required. * Assure that appropriate insurance requirements are in place for all properties * Responsible for maintaining accuracy and completeness of Yardi database. * Code and manage invoices * Strong knowledge of building systems.
Ideal Candidate
* Three to seven years property management experience * Strong financial skills * Bachelor degree * Knowledge of Microsoft Excel and Microsoft Word * Knowledge of financial software primarily Yardi * Excellent interpersonal skills * Experienced supervisor * Excellent written and verbal communication * CPM and/or RPA designation desirable * Currently working in the Greather Boston area
