Responsibilities
* Answer and direct incoming telephone inquiries. * Greet clients, vendors and visitors, notify the appropriate contact persona and acclimating guests to the office area. * Coordinate with Vendors and Caterers for service orders. * Coordinate meetings, schedule and maintain appearance of conference rooms, and maintain audio visual (AV) equipment and refresh coffee supplies. * Prepare and distribute mail, including envelope stuffing, coordinate package deliveries and mailings, notify recipients of deliveries and handle courier shipping requests. * Arrange travel for visitors including cab vouchers and services. * Forward and send faxes to appropriate staff and customers. * Order business cards, office, FedEx and coffee supplies, and other routine purchases. * Maintain general business machines, e.g. fax machine, copier/scanner machine, postage meter. * Maintain company phone list, parking sticker and contact information. * Additional projects including drafting correspondence, presentation, etc. when requested
Ideal Candidate
To perform this job successfully, an individual must be willing and able to perform each essential responsibility efficiently and accurately. * Technical Certificate in Business Administration or equivalent work experience is required. * Bachelor Degree preferred. * Excellent verbal and written communication skills in person, on the phone, and via e-mail. * Proficient in MS Office (Outlook, Excel and PowerPoint), and internet applications. * Professional appearance and manner including an approachable, welcoming and service-oriented demeanor. * Must be punctual and reliable * Ability to communicate effectively both orally and in writing. Exceptional telephone and e-mail etiquette is essential. Ability to read, write and converse in other languages is helpful. * Ability to define problems, collect data, establish facts, and draw valid conclusions * Strong organizational skills. * A high degree of attention to detail. * Demonstrated ability to handle difficult conversations and situations with tact and diplomacy and exercise discretion in escalation of issues. * Must be able to see to read fine print. * Must be able to communicate effectively in person, utilizing a telephone, and in writing via e-mail. * Mobility to allow access to all parts of the office. * Must be able to sit for hours at a time. * Must be able to bend, squat, reach, and lift up to 10 lbs. or more. * Must be willing and able to utilize the necessary computer, business machine and internet functions, including data entry.
