Summary
This administrative position is responsible for providing administrative and analytical support for the Property Management and Leasing staff in HTA’s Houston location. This position will involve standard administrative items, but also requires an individual who is comfortable working within a variety of systems including MRI, Avid, Angus, CoStar and LoopNet.
Responsibilities
* Assist with correspondence/communications with tenants, prospects, vendors and staff * Assist with preparation of monthly financial reports * Assist with monthly variance reports * Eventual proficiency with in-house software platforms. * Assist with contract administration including document preparation; assist with bid process of contract services and construction work – data entry and preliminary bid analysis * Review and code invoices for payment and approval. * Maintain filing system including tenant, accounting and vendor and contract files * Work on special projects under supervision of the Property Management and Leasing staff * Perform general administrative and clerical functions such as copying, printing, scanning, filing and faxing
Ideal Candidate
* HS diploma or equivalent (Bachelor’s Degree in any business field preferred) * Prior Commercial Real Estate experience preferred. * Accounting experience preferred * Proficiency in Microsoft Office, including Word, Excel and Outlook * Knowledge of MRI, Angus, and Avid preferred * Excellent oral and written communication skills * Must work well under deadlines; handle high volume of work; prioritize workflow as needed with little direction * Detail-oriented; able to handle multiple projects with extreme professionalism * Superb customer service a must * Arrange meetings and travel schedules. * Create high-level presentations using Microsoft PowerPoint * Professional demeanor and ability to discreetly handle confidential and time-sensitive information
