Responsibilities
Federal Realty Investment Trust is seeking an Assistant Property Manager with previous retail industry experience to work out of our West Coast Regional office at Santana Row in San Jose, California. The Assistant Property Manager will provide support for the day – to – day operation of our portfolio under the direction of the Regional Property Manager. The ideal candidate will be a self sufficient, self starter who is detail oriented, extremely organized, has the ability to prioritize, has a passion for world class customer service, and who thrives in a fast paced dynamic environment. **Responsibilities:** * Develop and maintain positive retail tenant relations by meeting with tenants on a regular basis. * Serve as the primary point of contact for all merchant's daily operating needs including general maintenance, tenant utilities, trash and parking management and respond in a timely manner. * Assist with the supervision of the maintenance staff assigned to the various properties. * Assist with the supervision the third party vendors that provide security, landscaping and other services. * Assist with over site of each property’s operating budget under guidance of the Regional Property Manager. * Create vendor contracts from track from creation to execution. Ensure all vendor insurance certificates are correct and up to date. * Assist in the preparation of the annual property operating budgets, monitor all purchases and expenses to ensure cost effectiveness and compliance with budget parameters. * Code vendor invoices and route to Regional Property Manager for approval. * Assist with the preparation of monthly variance/quarterly budget forecast reports. * Assist with the preparation of job specifications and competitively bid all large maintenance projects and service agreements. * Assist the Regional Property Manager with understanding the significant issues affecting a property's performance * Assist in implementing programs and making recommendations to correct problems and enhance each property * Provide all routine reports including variance reports, property inspections, traffic reports and utility analysis in a timely manner. * Work with Marketing Department on the coordination of property events as it relates to common area operations.
Ideal Candidate
* Must have at least 1 to 3 years Assistant Property Management experience of retail property management or understanding of retail real estate experience preferred at a Regional Shopping Center or Mixed Use Development. * Must have own transportation and valid drivers' license. * Bachelor’s Degree preferred. * Demonstrate ability to work with and communicate effectively with tenants and contracted service personnel. * Able to respond effectively to sensitive inquiries or complaints * Must be very proficient on Excel and have a good understanding of financial P&L statements and budgeting. * Must have strong computer skills that include Microsoft Outlook, Excel, and Word.
