Responsibilities

Opportunity available for an experienced portfolio manager to join our team and assist in the management of approximately 20 communities with direct oversight of 8-10 communities in the South Bay, Peninsula, and East Bay.

Position Summary:

The Portfolio Manager is directly responsible for all residential property management operations and financial performance of an assigned portfolio of properties to achieve the business objectives of the company, clients, and investors. This position reports directly to the Director of Property Management.

Essential Responsibilities and Functions

Asset Management

  • Review weekly data including traffic reports, availability reports, advertising reports, daily pricing strategies, and delinquency reports. On a semi-monthly basis review rent increase/renewal recommendations, and on a monthly basis review financial reporting providing variance narratives as requested. Assist in the preparation of annual operating budgets and narratives. Approve and review invoice coding for accuracy as well as statements of security deposit refunds. Compile and input statistical reports, and summarize findings if appropriate. Assist in refinance activities to include; inspections, repairs, reporting, etc. as well as new acquisition support preparing market surveys, assisting with due diligence inspections/process, recruiting/staffing, property set up, etc.

Multi-Site Management

  • Visit each site in assigned portfolio on a regular basis (minimum of weekly visits) and more often as deemed necessary due to site needs. Site visit review should include, but is not limited to, curb appeal, model inspections, expense approvals, financial review with on site team, and personnel matters. Directly supervise Property Managers and roving Leasing Associates as applicable. Responsibility for the interviewing, hiring and training associates, planning, assigning, and directing work, preparing associate performance evaluations and reviewing all evaluations for additional site associates within assigned portfolio, rewarding and disciplining associates, and address associate and resident matters in a timely manner.

Capital Project Management

  • Responsible for the successful operation of all maintenance programs, including any purchase order systems, budgets, safety, storage, inventories, and vendor use. Provide valid and reliable information for phases of planning including; budgets, staffing, scheduling for capital improvements, and other programs. Prepare and respond to punch lists with time frames as appropriate. Prepare accurate Bid Analysis/Contract Request documents and manage projects as assigned through to completion providing accurate status updates.

Associate and Team Management

  • Recruit, train, and retain site level associates to execute company goals and objectives. Resolve personnel issues in a professional and timely manner. Implement all disciplinary actions in accordance with company policy and ensure consistency. Prepare and review all associate performance reviews in a timely, accurate, and thorough manner. Effectively communicate corporate policy and procedures to associates, reinforce training, and motivate subordinates to achieve company objectives.

Contract Management

  • Review and analyze bid summaries, work contracts, vendor proposals, site inventories, market/comp analysis reports, advertisements, One Site reports, and Yieldstar pricing recommendations. Study and report as needed on trends such as traffic flow, leasing ratios, media sources, reasons for vacating, etc. and provide analysis to adjust business practices as needed to meet company objectives and financial goals.

Marketing

  • Ensure the effective use of lease renewal strategies and resident retention plans to include; review of all site proposed renewal strategies, lease expiration management, and retention programs. Oversee the implementation of marketing methodologies including review of traffic reports, marketing plans, advertisements, signage, banners, curb appeal, and models. Review shop reports and provide clear feedback, goals, and training to associates as needed.

The above is not all inclusive of the responsibilities for this position and individuals will be required to perform additional duties and projects as assigned by the Director of Property Management, CFO, and CEO.

Required Qualifications, Skills, and Experience

The individual must possess the following knowledge, skills, and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

  • High school diploma or general education degree (GED). Bachelor’s degree preferred.
  • Minimum of 5 years supervisory property management experience.
  • Ability to read, analyze, and interpret complex documents.
  • Must be able to respond effectively to the most sensitive inquiries or complaints.
  • Ability to communicate effectively in written and oral forms.
  • Comprehensive understanding of arithmetic, accounting, and financial statements such as; profit and loss, general ledger, operating budgets, etc.
  • Ability to be flexible and quickly adapt to changing business needs and processes.
  • Proficiency in Word, Excel, Microsoft Outlook, and the Internet. Ability to adapt quickly to proprietary software.
  • Local travel required.

Physical Demands

  • Standing, walking, or sitting for extended periods of time
  • Ability to lift and/or move up to 25 pounds
  • Vision occurs continuously with the most common visual functions being those of near vision and depth perception
  • Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machines, electric typewriter, multi-line touch phone, filing cabinets, FAX machines, photocopiers, dolly, and other office equipment as needed.
  • Talking and hearing occur continuously in the process of communication with residents, supervisors, and subordinates.
  • While performing these duties of this job the employee is regularly required to use hands to handle or feel, to reach with arms, and to talk or hear.
