Summary
The successful candidate will possess strong organizational, analytical, and administrative skills to provide full scope of administrative assistance, including strong administrative support to the department's initiatives, handling multiple projects simultaneously, and quickly learning about department procedures and operating mechanisms.
Responsibilities
* Actively promote and ensure clear communication within the departments and facilitate inter-departmental communication. * Coordinate both internal and external events, such as team meetings and training sessions. Duties may include facilities and logistics planning, travel coordination, invitations, document preparation, agenda creation, catering, conference call set-up, etc. * Maintain organizational charts, phone lists, and files. * Maintain various calendars and travel schedules. * Maintain various calendars including; business reviews, strategic and annual planning, events and meetings. * Perform general office duties; maintains files, orders supplies. * Perform word processing and desktop publishing including presentations, spreadsheets & graphs, meeting and/or conference call minutes. * Prepare and reconcile travel expense reports. * Review and edit written material to ensure accuracy, neatness, correct punctuation & grammar, and recommend changes to improve readability and clarity. * Support creation of applicable materials for meetings. * Work with staff on functional projects and special reports. * May be required to perform other related duties as required and/or assigned.
Ideal Candidate
* Minimum of five years of related experience as an administrative assistant supporting managers and/or executives * Knowledge of office and administrative practices normally acquired through college level courses or equivalent work experience. * Ability to handle confidential material in a professional manner and maintain strict confidentiality * Ability to learn the executives' primary business objectives, and through this understanding anticipate administrative needs. * Ability to partner with other administrative professionals in order to manage competing needs. * Customer and client focused. * Demonstrates and drives the Thermo Fisher values – Integrity, Intensity, Involvement, and Innovation (The Four I's). * Excellent attention to detail. * Excellent computer skills and application proficiency in spreadsheet, presentation, and email software such as Word, Excel, PowerPoint, Outlook, and general Microsoft Windows operations. * Excellent written and oral communication skills. * Experienced in independently managing multiple concurrent tasks and meeting rigid deadlines. * Experienced in supporting a global organization with multiple locations and time zones. * Positive, "can-do” attitude. * Professionalism in both written and verbal communication * Proficient in performing basic internet searches. * Strong problem solving skills and reasoning to solve administrative issues.
