Summary
Administers the processing of customer orders and follows orders through the distribution process. Provides support to Sales Representatives, Brokers and Customers; exercises diplomacy, professionalism, and confidentiality in all facets of the job.
Responsibilities
* Administers orders and confirmations in a timely and accurate manner; verifying accuracy of all information received. Notify brokers and sales representatives of inaccuracies. * Ensure product delivery by accurately entering information that affects transportation times, schedules, routes, and truckloads. * Ensure correct billing by matching customer PO pricing to pricing in ROSS. If inaccuracies exist, must coordinate with brokers, sales representative, Trade Spend department, and/or pricing analyst. * Ensure that production and delivery meet specific customer needs and information is passed on to appropriate production schedulers and shipping personnel in a timely manner. Follow up is required. * Identify and notify sales representatives, brokers, and customers of shortages; resolve issues resulting from those shortages. * Enter late orders into ROSS for tracking purposes, coordinate with production and shipping to authorize shipment of late product order. * Provide sales support by answering various questions, running reports, and resolving issues as they arise. * Maintain procedures manual for job/territory responsibilities where applicable, including broker contact information. Keep broker contacts current and confidential, notify others of new broker contacts or broker changes that may occur. Maintain customer and broker contacts/notes in ROSS, where applicable. * Perform other administrative and customer service duties as requested.
Ideal Candidate
**Knowledge, Skills and Abilities** * High School Diploma or GED and one year related experience and/or training. * Great customer service skills-including working with a variety of customer behaviors. * Proficient communicator-both written and verbal to multiple layers of management, brokers and customers. Ability to use phone in a polite and professional manner. Ability to communicate clearly and concisely, via phone and e-mail. Ability to effectively and empathetically communicate problems and solutions to others, often in stressful situations. * Solid management skills with the ability to use time efficiently and effectively. Ability to work under pressure on time sensitive activities. Ability to multi-task and manage changing priorities. * Excellent organizational skills-arrange information in a useful manner. High attention to detail and data entry accuracy. * Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence and give clear instructions. Ability to spell correctly. * Ability to learn and perform ROSS computer commands and routines. Ability to demonstrate more advanced use of computers, including sound understanding of networks, the Internet, Microsoft Outlook, Word and Excel. * Results oriented-Pushes self and others for results. Ability to use initiative to recognize problems and suggest possible solutions. Must continually analyze and create better methods for completing job functions. * Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. * Desire to work in a team environment. Ability and willingness to see other’s perspectives. Possess good attitude. * Punctual. Required hours are Monday, 9am-6pm EST and Tuesday-Friday, 8am-5pm EST. **Education / Experience** Associate's degree (A. A.) or equivalent from two-year college or technical school that has been accredited by the Department of Education; or six months to one year related experience and/or training; or equivalent combination of education and experience.
