We currently have an outstanding career opportunity for an Administrative Assistant in Lynnwood, WA. The incumbent is often responsible for confidential and time-sensitive information and must demonstrate familiarity with the organization’s field activities and related adjuster and client needs.
Responsibilities
* Transcribes dictation from field adjusters and managers as assigned; prioritizes transcription projects and manages multiple assignments to assure productivity goals and deadlines are met. * Assists adjusters with tracking status of pending claims as needed. * Maintains documents in the Riskmaster system; closes files in Riskmaster and prepares files for storage, in keeping with established processes and procedures. * Enters data in Daily Time and Expense system; prepares items for SalesLogix. * Serves as office receptionist as required, greeting and directing clients and visitors; answers telephones, greets callers, transfers calls, and responds to inquiries; provides information to callers within scope of understanding and responsibility * Schedules appointments as necessary or assigned. * Composes electronic and hard-copy business memos, reports and correspondence. Proofreads documents for accuracy. Prepares and files electronic and hard-copy documents, using various software applications as required. * Prepares and submits or processes expense reports, statements and invoices. * Maintains office files and records and accesses documents on behalf of adjusters, manager(s), and clients as necessary and in accordance with disclosure and confidentiality requirements. * Assists in compiling and reporting financial information; uses Excel spreadsheet software and industry software and forms as applicable for such tasks as loss statements, depreciation schedules, income loss summaries, and trade analyses. * Researches content and drafts materials for various business purposes, including, but not limited to, client presentations and marketing efforts. May prepare PowerPoint or similar electronic-format presentations and uses audio-visual equipment to facilitate presentations. May organize, schedule, and facilitate meetings and presentations using Skype, IM, Go-to-Meeting, and other internet technology to support these activities. * Stays abreast of office and company policies, procedures, and practices; participates in ongoing training and development as assigned or approved to assure knowledge and skills remain current and comprehensive. * Functions as an effective member of the team, assisting co-workers as needed and learning from colleagues and supervisors; supports the goals of the department, division, and organization; participates in special assignments and activities as required or approved; demonstrates initiative in the interest of the client and the organization. * Upholds the values of Engle Martin & Associates and the culture espoused by The EM Way, consistently demonstrating professionalism, integrity and the highest standards of ethical behavior and professional conduct; conducts oneself in a manner that reflects favorably on the organization. Ideal Candidate
* Demonstrates thorough skill set in, or demonstrates ability to quickly master, a variety of office software, including MicroSoft Office Suite (including, but not necessarily limited to Word, Excel, PowerPoint, Outlook, Publisher, SharePoint, and Access), internet communication tools, Adobe, Riskmaster, DT& E, and SalesLogix or Client Relationship Manager. * Skilled in use of internet for business research purposes; excellent transcription and keyboarding skills (including speed and accuracy); sound written and oral business communication skills, including formatting and preparation of memoranda, letters, and reports. * Basic mathematical skills. * Diplomacy; fine and gross motor skills, as well as mental requirements, to operate of standard office equipment, including personal computer, multi-line office telephone system and wireless communication and computing devices, photocopiers and scanning devices, audio visual equipment, and other routine equipment. * Time management, prioritization, and organizing skills; excellent interpersonal, customer service, and problem-solving skills. * Demonstrates teamwork, compassion, and respect toward others in keeping with the EM Way, as well as integrity, accountability and adherence to standards of ethical behavior and professional conduct. * Open and honest communication, and a commitment to continuous improvement and professional development.
