Responsibilities
**Internal Facilities Administration** - Manages full-time staff including 2 Facilities Administrators, 1 Shipping and Receiving Administrator. - Establishes and maintains high quality standards and sound operational cost controls for all facilities services, including cost benefit analysis of internal vs. contractor service delivery, and project management of contractor work. - Oversees the assignment of requests, inquiries, and complaints from employees regarding their physical workspace and handling of general facility services using an automated help desk system to assure managed, timely, and satisfactory completion. Updates weekly a master floor layout of all work meeting space and space assignments. - Serves as project manager for internal space allocation and resulting moves. - Manages the telecomm program including, telephone policy, phone bill reconciliation, and external contractor oversight. Coordinates and manages routine telecomm services, such as phone replacement, moves and changes, voice mail set up/terminations with IT. - Coordinates the purchase of new equipment and wiring of the data and telecomm system with the Senior Director. - Maintains an active, visible external role with other organizations to seek out and implement best practices on facilities management for DAI Bethesda. - Manages the coordination between DAI-Bethesda and the property manager in terms of housekeeping and routine operational maintenance in accordance with the lease agreement. **Records Retention** - Manages DAI-Bethesda’s record retention program including coordination with the external records retention vendor, handling all client coordination and assuring efficient and effective storage and retrieval of all DAI records kept in long-term, off-site storage. **Shipping and Receiving** - Manages DAI-Bethesda’s shipping, receiving and mail system including all procedures and processes to maintain a network of secure services for efficient and effective receipt and transfer of documents and equipment. **Office Safety/Security** - Assures DAI-Bethesda compliance with OSHA requirements regarding workplace safety. - Designs, updates and trains staff on facilities evacuation plans. - Manages and maintains and assures compliance with office safety checklists to include but not limited to assuring that aisles, doorways, and corners are free of obstruction, work areas and walkways are adequate, and office furniture and equipment are in good condition. - Runs the security card badge system for corporate staff assuring cards are properly issued, retrieved and accounted for in an efficient manner. - Serves as liaison with local/federal law enforcement and fire/EMS rescue officials, when needed, regarding safely and security matters.
Ideal Candidate
**Knowledge, Skills and Abilities** - Considerable knowledge and skill in facilities management, telecommunications and general office/administrative services. - Skill in managing building and maintenance staff. - Skill in budget development and monitoring, and cost benefit analysis and performance evaluation of facilities contract services vendors. - Ability to read interpret plans for building construction, renovations, equipment and furnishings. - Skill in written/oral communication, negotiation and active listening. - Skill in the use of various Lotus Notes and Microsoft Office applications, including Excel and Word. - Ability to coordinate diverse resources, to interact effectively in a customer service environment, and to analyze issues and concepts to correctly state a problem and develop recommended solutions. - Ability to manage and provide professional leadership and direction for the department and maintain effective working relationship. **Training and Experience** - Bachelor’s degree in Business, Construction/Property Management or related field. - Grade 10: Seven years increasingly responsible facilities/office/property management experience, including supervisory oversight experience. - Grade 11: Ten years of increasingly responsible facilities/office/property management experience, including supervisory oversight experience. - Schedule: This role requires the incumbent to be “on call”. **Supervisory Requirements :** - Manages full-time staff including 2 Facilities Administrators, 1 Shipping and Receiving Administrator.
