Summary
Assumes responsibility for staffing, planning, directing, and controlling the bank's Data Management Department.
Responsibilities
* Assumes responsibility for the efficient and effective control of the bank's Data Management Department functions by: * Insuring that prescribed schedules and operating policies and procedures are followed. * Responding to various scheduling requirements from inside and outside the bank. * Making recommendations regarding improved operating systems and procedures, changes in employment, salary, and performance ratings for employees. * Allocating work and assisting in training personnel. * Promotes positive customer service attitudes among employees of the section. * Reviews and takes appropriate action on more serious problems. * Monitors adherence to processing schedules on a daily basis. * Supervises preparation of Productivity Reporting statistics on a monthly basis for direct functional areas. * Maintains a good working relationship with bank employees and bank customers. Demonstrates strong interpersonal skills with the ability to work independently, as well as motivated to work as a team player to contribute to the success of the department and in turn, the organization. * Manage all facets of the bank’s archive system and Lock-Box system, which include: * Works with vendors to solve both software and hardware issues related to the bank’s archive system. * Configure reports for the use of the various areas of the bank. Manage the efficient and accurate processing of daily COLD reports. * Oversee daily document imaging workflow and production services. Scan, index and quality control assigned paper documents for various areas of the bank and external customers. * Manage, maintain and implement the department’s use of Systems applications. Perform system configuration as necessary. Examines and review reports for adjustments as necessary to ensure the highest level of accuracy, quality and efficiency. * Manage and administer Systems security for user accounts for access on the thick client and web client. * Investigate, propose, and communicate updates to indexing/and or workflow procedures to facilitate efficient and effective processing and distribution of information. * Provide customer service to internal and external users and troubleshoot customer issues. * Coordinate and provide process workflow consultation with appropriate business units, internal training on all aspects of eCapture, Workflow Processes, and document imaging. * Track off-site document storage. * Evaluation, creation and maintenance of Data Management policies and procedures. * Participate and assist SVP - Enterprise Payments Manager in large-scale document management/imaging projects in a leadership and advisory role. Maintain awareness of industry issues and trends to leverage existing and future software solutions to achieve goals. * Assist in Operations projects as needed. * Perform additional duties, as required. * Assumes additional responsibilities as required.
Ideal Candidate
**Qualifications:** * Requires a high school diploma or equivalent plus two years specialized training or a two year degree. * Five to ten years of general experience. Requires specialized experience in correspondent banking processes; transaction processing, proof/virtual proof function, postal regulations, mail processing, courier logistics, FJE processes, report/document management, managing archive system database, remittance processing, supervisory experience. **Physical Demands** * Operates a keypad device: 55% of the day; operates office equipment: 2% of the day. The primary parts of the body involved in performing these tasks are the fingers, thumbs, hands, wrists, elbows. Standing is required 28% of the day. Sitting is required 70% of the day. Walking is required 2% of the day. Routinely lifts 15 lbs., 30 times per day; maximum lift is 40 lbs., 5 times per day. Utilizes fingers and manual dexterity skills for typing, filing, and data entry on a frequent basis, up to 60% of the business day. Possess the ability to focus visually at a close distance of 18"-20" for a period of up to 60% of the business day. Must be able to occasionally lift and/or move up to 50 lbs.

Monday - Friday: 8:00 a.m. to 5:00 p.m. (Additional hours as needed to carryout the objectives of the department.)
