Summary
Under minimal supervision, performs complex, advanced, diversified and confidential administrative duties. Communicates and coordinates executive's instructions and desires with various individuals of significant importance both within the company and externally. Schedules appointments and arranges meetings, conferences and travel. Organizes and maintains correspondence and projects, following up on pending matters with limited direction. May need to establish new procedures for specific work/projects. Handles highly confidential information and files. Prepares special reports and correspondence, summarizing and analyzing data. Communicates with individuals at all levels in the organization, industry and community. Organizes and expedites work through executive's office and initiates follow-up action. Operates a personal computer and appropriate software. Assignments are broad in nature and usually require originality and ingenuity. May serve as a resource in the resolution of complex problems and issues. Typically supports executive layer 2 or SL. 5+ years related experience.
Responsibilities
* Supports Senior Leadership Team member by maintaining business calendars, organizing meetings, facilitating expense reconciliation, coordinating travel arrangements, and completing ad hoc projects as assigned. * Prepares special reports, complex correspondence, presentations and gathers data as needed. * Receives and screens telephone calls, letters and/or visitors. * Organizes and maintains files of correspondence and records, providing follow-up on pending matters. * Creates PowerPoint presentations and maintains databases for Company initiatives. * Responsible for general duties such as personnel file maintenance, accounts payable, copying, filing and invoices. * Manages office supplies and maintain operating effectiveness of office equipment. * Other duties as assigned.
Ideal Candidate
* High School Diploma required; Bachelors or Associates degree * Required to have a minimum of 5 years administrative experience supporting senior level management. * Ability to maintain confidential information. * Ability to work in a team environment and demonstrate a high degree of tact, discretion and diplomacy. * Excellent interpersonal and customer service skills. * Excellent verbal and written communication skills, including proofreading. * Strong attention to detail. * Ability to manage multiple priorities with limited direction. * Strong working knowledge of Microsoft Word, Excel and PowerPoint products. Access experience a plus. * Flexible with the ability to work overtime as necessary
