Summary
Brackett Flagship Properties, LLC (BFP) is a rapidly growing commercial real estate investment firm located in Charlotte, NC that through its affiliate companies specializes in the development, acquisition, management and leasing of medical and professional office properties, primarily in the Southeast. BFP’s Assistant Property Manager (APM) will assist the property management department in the daily operations and management of the entire portfolio. The APM provides support to the BFP Property Managers and will report to the Director of Property Management.
Responsibilities
* Assist PM’s with providing customer service to every one of our tenants * Oversee/resolve tenant conflict * Prepare and present building management correspondence to Ownership on an as needed basis * Serve as a backup for PM’s in coding invoices in Avid when PM’s are unavailable * Assist PM’s with drafting and distributing communications to tenants such as memos/letters * Be familiar with the Building Engines work order system and be able to process work orders for tenants if needed, and review of all maintenance service requests to track progress of completion and tenant satisfaction. * Enter notes into MRI for all tenant correspondence * Assist in the quarterly investor reporting process as needed * Assist in the monthly review of financial statements as needed * Assist Maintenance Technicians with coordinating vendor work at their buildings * Assist PM’s with special projects * Assist PM’s with tenant move-in/move outs * Handling any tenant bill-backs including afterhours HVAC, and water and electricity reimbursements * Administer any card access system requests * Assist PM’s with ongoing inspection of properties * Correspond with tenants regarding past due balances and monthly rent charges * Research vendors and collect bids for various maintenance and renovation projects * Coordinate and supervise the annual fire sprinkler, fire alarm, extinguishers, and backflow inspections * Proactively follow up with tenants to confirm satisfactory resolution for work requests * Maintain accurate tenant contact information including alarm codes, emergency contacts, email addresses, etc. * Serve as the primary point of contact for third party property vendors * Maintain property keys * Maintain up to date preferred vendor list * Maintaining up to date Certificates of Insurance for all vendors * Assist PM’s in the annual operating budget process including setting up the budgets in MRI/Yardi and provide support where possible * Provide support to Lease Administrator and PM’s to complete operating expense reconciliations in a timely fashion each year * Support the goals and objectives for each property and PM by completing tasks as necessary * Handle incoming phone requests related to managed properties, vendor or tenants or immediately direct such calls to appropriate property manager
Ideal Candidate
* A minimum of one year of experience in commercial real estate property management * Proficiency in property management software systems MRI, Yardi, Building Engines, & AvidXchange * A Bachelor's Degree * Excellent written and verbal communication skills, a positive attitude, problem solving abilities, organizational and analytical skills, and a focus on customer service * The ability to effectively balance the need to maximize investment performance while delivering the best experience to our tenants * The ability to think and work both independently and in a team environment * The ability to multi-task and prioritize projects * Attention to detail and self-motivation
