Summary
The AP initiates, maintains and manages an account’s projects on an ongoing basis. The AP has overall responsibility for leading the client production effort. Within the agency, the Account Producer is the leader/coordinator for the client and works closely with all agency personnel in determining project scope, estimating, planning, executing and monitoring assigned projects and deliverables. Oversees and motivates project teams. Externally, the AP will have direct client contact with assigned agency clients.
Responsibilities
**The Role** The AP directs and coordinates the day-to-day agency efforts on assigned accounts. In this role, the AP insures that the agency ensures superior creative product is delivered every time. * Sound and responsible project management and planning. * Proper and innovative execution of work in all areas on schedule. * Communicate with client and has desire for career development deeper into accounts. * Motivates a cross-functional team across various stages of projects. **Duties include:** **Planning:** * Plan projects, drive them, evaluate progress and modify the plan as it unfolds * Develop workable budgets, work plans and realistic timetables. * Collaborate with the Account Team on strategies and actions for the client. * Manage creative projects, internal agency projects and new business projects. * Utilize information systems and update them on a regular basis * Define project scope, estimate and write scope in collaboration with account team on specifications * Educate account team and clients and manages their needs and expectations. * Determine project risk on an ongoing basis, escalates issues as needed. * Evaluate best team makeup for assigned projects. * Monitor out of scope requests, initiates additional estimates and approvals. * Anticipate and solve potential issues * Ensure work is getting produced against the objectives in the brief and have a point of view as to what’s right for the client’s business **Setting Expectations:** * Educate clients and manage their needs and expectations. * Ensure client is delighted with the deliverables and experience * Help the team exceed client expectations * Help team see the value of the work and how what we do is worthwhile * Continue to focus on connecting projects back to client’s business objectives * Confidently manage external communication, solve problems, present work and ensure client and agency alignment * Maintain communications with appropriate agency and client personnel to ensure positive workflow. * Establish partnership and camaraderie with all team members on project **Communicating:** * Own communication flow for assigned projects * Represent Duarte and the work externally * Represent the client internally * Partner with creative and strategic teams to present work to the client * Translate and synthesize the client’s feedback to the team * Ties executional feedback back to the objectives * Communicates clearly with clients on the phone and email. * Presents professionally and exudes the Duarte spirit * Is articulate in Duarte’s IP and methodology and is a client whisperer * Remains calm yet persistent under pressure * Be nurturing and tough, quick witted and patient **Managing Projects:** * Escalate exceptions and issues to Director level as required * Provide leadership within the agency and monitors work scope against all variables. * Act as the project leader on all assigned projects Manage assigned projects, involved with client projects from start to finish, ensuring successful project completion against deadlines. * Provide and maintain projects status - liaising with development teams, designers and commercial staff to provide accurate updates of project statuses * Project quality assurance - testing and review of output, reviewing outputted deliverables against scope * Manage digital assets and sourcing through final delivery * Initiate and lead all appropriate project meetings. * Keep project status reports up to date * Monitor and enforce project constraints (schedule / scope / resources) * Champion internal systems for higher productivity working * Drive projects to final stages of completion by keeping the team both on track and highly motivated. **Financial & Administrative** * Monitor all budget and production activity on assigned projects and communicates status of each project to appropriate agency and client personnel in order to meet project deadlines. * Monitor all internal and external costs for assigned projects. * Create and maintain projects, status reports, PO’s, estimates, schedules, change orders, etc. * Manage purchases, vendors and contractors on projects - create purchase orders, monitor actual vs. budgeted costs. * Manage the production of new business presentations and materials as assigned * Works with account executive to insure proper billing and invoicing. * Reviews WIP and final billing reports. * Strong business and personal ethics
Ideal Candidate
* Bachelors Degree in Marketing, Advertising, Journalism, Digital or Broadcast production. * Interest in and aptitude for producing creative solutions * Minimum of 4 years experience as a project manager or producer in a creative agency * Client-facing experience * Great project management abilities * Self-motivated and life-long learner * Experience working with clients to develop and negotiate project scopes and budgets * Ability to self-manage while managing assigned teams and projects under tight deadlines. * Self-direct own work, be proactive * Focused on developing leadership skills
