Summary

The Executive Assistant provides advanced administrative support directly related to management policies; exercises considerable discretion and independent judgment in the performance of duties and responsibilities; interacts with executive management team relating to Bank activities, including board meetings, and merger and acquisition activities. Duties and responsibilities include; prepares correspondence, reports and memoranda; initiates frequent discussions with Executive Officer to prioritize objectives; assists Senior Executive Officer in accomplishment of those objectives; ensures scheduling requirements are met to avoid potential conflicts; coordinates preparation for board and executive management meetings as required.

Responsibilities
  • Coordinates and maintains Executive calendar to ensure that high priority objectives are accomplished; schedules and reschedules meetings and appointments when necessary with little or no direction when required without interfering with business objectives; acts as communications liaison bank-wide. Makes frequent routine and complicated decisions on behalf of Executive Officer pertaining to external and internal incoming mail and phone calls; ensures follow up on external and internal appointments and correspondence.
  • Coordinates preparation for monthly meetings, including preparation of agenda, assembling of materials for meetings, poll members for attendance, physical preparation of room; may be required to attend meetings, seminars, etc. and to possibly take notes or furnish information.
  • Develops, designs and maintains information in spreadsheets and data base programs using the most complex features of various software programs, (i.e., merge files, import data, graphs, etc.). Gathers information to be maintained on data base programs. Generates and distributes reports from these programs. Monitors reports for quality.
  • Duties performed may include: Coordinates the presentation of material for the review/approval of Loan Committee and Corporate Credit Policy Committee; may interact with Account Managers, administrators, and departments on a variety of issues Bank-wide. Collects and maintains information on board activities, board members and executive officers and subsidiary companies for use by examiners during annual examination. Coordinates service with stock transfer agent, assisting shareholders with transfer of stock. Acts as contact person for inquiries regarding company’s stock. Maintains investor relations mailing list for mailing of investor materials. Maintains personnel records, files, and projects which require a high degree of confidentiality. Answers telephone calls from clients directly; screens telephone calls and visitors, and resolves routine customer inquiries.
  • Deals effectively with a variety of personalities and general and confidential situations which require tact, judgment, and poise.
Ideal Candidate
  • Advanced knowledge of: file maintenance, English grammar, appropriate standards regarding letters, memorandum, composition, and proper telephone etiquette.
  • Advanced PC and software application skills.
  • Excellent understanding of bank operating practices and procedures.
  • Advanced interpersonal, verbal, and written communication skills.
  • Advanced organization skills; ability to handle multiple complex priorities simultaneously in a competent and professional manner.
  • Ability to work with data/information requiring a high degree of confidentiality.
  • This level of knowledge is normally acquired through completion of an Associate's Degree in Business related field and 3-5 years executive level administrative experience or 6 - 8 years equivalent work experience.
