Summary
We are looking for a seasoned Executive Assistant to support two of our Vice Presidents in Product. The environment is fast-paced, energetic, and customer focused! The successful candidate will have a collaborative and friendly work style, be exceptionally well organized with ability to multi-task and prioritize, and have executive facing written and verbal communication skills. This individual plays a critical role within the Video, Design & Emerging Products team and the greater executive staff EA team.
Responsibilities
* Provide first class administrative and project management support for multiple VPs * Serve as the brand extension for the executive, escalating and communicating on his/her behalf and serving as a team liaison * Handle and maintain highly confidential and sensitive information * Schedule and manage extremely demanding calendar, while keeping the exec highly accessible * Communications. Read/prioritize executive’s email and mail. Prepare meeting materials ahead of time * Interface and collaborate daily with executive staff and other Executive Assistants across Yahoo both locally and in other offices in the US and internationally on various matters * Coordinate complicated international and domestic travel, accommodations and logistics * Event plan, execute and measure and set cadence for frequent business meetings, offsite conferences, all hands events * Organize events and meetings, video conferences and conference calls * Initiate purchase orders, reconcile invoices, track budgets, and complete expense reports * Develop an understanding of the department’s operations, culture, policies and procedures * Multi-task and work on many projects simultaneously * Think strategically and bring business acumen * Cover for other Executive Assistants when they are absent * Responding to the global nature of our business, respond to evening and weekend calls or email
Ideal Candidate
* Bachelors degree or equivalent experience. Minimum of 4 years of high level, complex executive administration work experience at senior level or equivalent including heavy calendaring, complex travel coordination at the executive level in a quickly moving, dynamic environment. * Understands the intricacies of working in and supporting executives and his/her team in a sales environment. * Power-user of Google docs as well as Word, Excel and PowerPoint. * Ability to work and strive in a fast-paced, matrix environment and execute against multiple projects and deadlines, prioritizing and re-prioritizing * Excellent communication skills - verbal and written involving high-level communications with internal and external contacts; Ability to listen and simplify details depending upon target audience; Ability to influence others; Manage conflict appropriately, know when to delegate issues upward * Collaborates and brings a mindset of ultra responsiveness with EAs and other staff up, down and across the organization * Demonstrated ability to take initiative, anticipate needs of the executive and his team and exercise independent, sound judgment * Demonstrated passion for continuous learning, improvement, and sharing best practices
