Responsibilities
* Coordinate Support Office operational needs including but not limited to: telephone coverage, departmental and guest correspondence including guest recovery letters, support staff room reservations, winter transportation, pool vehicle coordination. Oversee office equipment usage and maintenance, mail distribution, and supply inventories. * Assist as directed with the compilation of annual rate comparables and price submittals to the National Park Service. * Assist in the CEA process as directed. Responsibilities may include obtaining bids, inserting equipment specific hyperlinks into the appropriate documents, proofing, copying etc. **Assist in the menu process by completing the following:** * Assist and develop various menu layouts and design, working closely with the current media company and the Director of Food and Beverage to ensure quality menus can be printed in the Food and Beverage office * Coordinate the menu paper order and finishing process with Support Services * Print all guest menus, table tents, beverage cards and any other menu pieces. * Organize finished pieces for location delivery and F&B archives * Coordinate with Food and Beverage Support Staff to develop special, short-term projects requiring design, formatting of documents and spreadsheets. * Coordinator and primary contact for all Fire Fighter and search and rescue feeding. Ensures accurate and timely information is communicated from NPS Fire Cache representatives to appropriate location contacts. Responsible for timely and accurate billing. * Coordinates guest requests and inquiries about dietary restrictions and allergies. * Coordinate computer access (UAR submittal) and provide computer technical support for F&B Support Office and F&B field management. Train and assist F&B Support Staff with personal computer software use: Word, Excel, Outlook, FoodTrak, Publisher and Power Point. * Track and react to the daily linen inventory reports. Order kitchen towels and table linen as assigned by the Department Director and/or Assistant Director. * Coordinate department vehicle maintenance with Gardiner Service Center. Maintain department carpool vehicle schedule. * Complete mileage expense reports during the opening training process for F&B support office and trainers to ensure expenses are submitted within the established schedule. * Follow Company and departmental environmental practice to minimize wasted energy and resources. * Follow Company and departmental safety practices to minimize risk to self and others. * Follow Company and departmental policies and procedures. * While all essential functions and duties cannot be possibly listed on a job description, each employee is expected to be flexible and accept additional and/or different duties as assigned at any time as directed by management. **Skill and Knolege:** * Interpersonal skills * Confidentiality practices * Organizational and business writing skills * Must be flexible, able to prioritize workload and willing to take initiative * Ability to work cooperatively within the department and company * Knowledge of PCs and software: Word, Excel, Publisher, Page Maker, Outlook, FoodTrak, In Design, Photoshop, Illustrator, Acrobat. * General office skills – office equipment, typing, filing, etc. * Business communication skills * Valid driver’s license required. * Knowledge of Company and Park policies and procedures * Knowledge of location Food and Beverage operations helpful **Physical Requeirements:** * Must be able to sit and type for extended periods of time, approximately 8 hours. * Must be able to lift a minimum of 35 pounds. * Must be able to reach, bend, stretch, and reach for extended periods of time. * Must be able to work in a fast paced, active environment; completing detailed work in a distracting setting.
