Summary
Candidates must have proven administrative experience with support provided to multiple managers and exceptional organizational skills; must be proficient on all Microsoft office applications; be able to interpret & analyze data; must possess excellent grammar and proof- reading skills. Requires a strong sense of guest loyalty and customer service, possessing a "yes we can" attitude toward all contacts. Knowledge of Intrawest and/or Winter Park Resort strongly desired. General knowledge of hospitality/ski/resort and golf industries is a definite asset. We are looking for a professional individual who is creative, energetic and motivated.
Responsibilities
* Provide daily confidential administrative support to the Vice President, as well as the Directors and Managers, of Sales and Marketing * Facilitate clear, concise, and effective communication across the Sales and Marketing Division * Prepare and review monthly expense reports, reconcile accounts payable, and process departmental purchases, check requests, and other documents * Analyze Sales and Marketing financial reports to prepare for forecast and variance meetings. * Lead monthly forecast and variance meetings to assist in presenting Sales and Marketing budget details * Assist in preparing yearly budgets and enter labor, revenue and expense data into corporate budget templates * Budget development and optimization for all sale and marketing initiatives for annual budgeting * Track incoming revenue and submit resort sponsorship payment requests * Process monthly sales and marketing incentives * Prepare month end presold reports for finance to invoice mountain partners * Fulfill marketing, sales and retail VIP and Industry season passes * Fulfill Mountain Money requests for sponsorship trade, PR, sales and marketing. * Coordinate and track corporate and resort sponsorship lodging, season pass and single day lift ticket trade * Coordinate and track comp lodging and ticket requests (Warren Miller, social giveaways and marketing promotions) * Assist VP of Marketing and Sales in development of Power Point presentations. * Input vacation, Flex TAB and sick hours for sales and marketing staff * Kronos weekly signoff of employee hours * Source sales and marketing promo items * Process new hire and termination paper work * Maintain master planning and vacation calendars * Coordinate and maintain a master calendar for the parking passes * Coordinate and maintain a master calendar for the marketing iPads * Coordinate meeting room requests for all of the resort BU’s * Participate in sales and marketing weekly status meetings and work sessions
Ideal Candidate
* **Education:** * High School diploma or GED required * Some college or at least 3 years closely related/relevant work experience required * **Experience:** * 2+ years of past administrative experience, supporting a department (not an individual) * Fluent in budget development, forecasting expenses and reconciliation. Comfortable in managing budgets in excess of $4MM with processing 100+ invoices per month. * Experience in sales and marketing functions in the travel and tourism industry preferred * Experience in developing presentations using Power Point * **Qualifications,Knowledge, Skill and Ability Requirements** * Working knowledge of Microsoft Office, strong proficiency in Excel and Power Point and basic computer functionality required * Strong attention to detail and quality work * Valid Colorado Driver’s License and clean motor vehicle record desirable
