Responsibilities

Financial Management:

  • Manage annual financial audit, tax filings, and 990 filing with auditor
  • Oversee annual budget process with school leader
  • Act as liaison between school and business consulting firm to manage fiscal reporting, ensure completion of all federal, state, and local grant reporting, oversee accurate posting of all revenue and expenses, manage bank reconciliations, manage payroll responsibilities
  • Handle treasury management to maximize interest income
  • Support Executive Director with staff member pay scale determination

Human Resources:

  • Act as main point of contact for all human resource issues
  • Manage all employee processes for new, current, and departing employees and maintain all personnel files
  • Manage non-instructional staff including nurse, custodians, office manager
  • Track all days off for staff and ED and generate associated reports
  • Select and manage relationships with benefits vendors/brokers and enroll/withdraw staff
  • Select and manage relationships with vendors/brokers for school wide insurance policies
  • Administer staff survey/feedback mechanisms in conjunction with school leader and compile statistics
  • Manage administration of all volunteer files, processes and procedures
  • Manage contingency planning for long-term and coordinate succession planning

Operations & Logistics:

  • Oversee purchases and track all supplies, assets, inventories, and materials
  • Oversee shipping/receiving responsibilities, including logistics for returns
  • Act as first point of contact for technology issues related to hardware, database system, phone system, internet connectivity
  • Work in conjunction with Executive Director and/or technology consultant to plan, procure, implement, coordinate repair, and train staff on new technology
  • Manage all facilities issues including maintaining system to address facility needs, support long-term planning of room use, and completing all required facility reports and paperwork
  • Act as liaison for school-wide initiatives such as after-school program, book fairs, fundraisers, or other revenue-generating activities
  • Manage all school transportation needs including communicating with vendors and parents, coordinating schedules, and resolving issues
  • Manage relationship with food service vendor and ensure completion of all necessary reports and paperwork
  • Oversee maintenance and organized filing of accurate student records as required by state law
  • Oversee student enrollment processes, including student lottery, admission, tracking enrollment, maintaining waiting lists, completing withdrawals
  • Works in conjunction with Executive Director to manage recruitment activities

Compliance & Reporting:

  • Manage all compliance responsibilities including PIMS, Title I-V, teacher certification, safety, fire drill, health, clearances, software, COBRA, student lottery, legally mandated staff training, legal issues
  • Assume responsibility for completion and oversight of all PIMS reporting requirements, deadlines, and schedules
  • Oversee implementation and completion of all required state assessments (PSSA, ACCESS, WIDA, etc.)
  • Manage compliance related to Board of Trustees and charter renewal
  • Manage all school policies to ensure compliance with all applicable laws and establish documented procedures to ensure staff adherence to these policies

Other:

  • Work with the Board of Trustees’ Treasurer and the Finance Committee to ensure adequate and proper financial oversight and compliance
  • Attend monthly board meetings and provide the board with requested reports, data, information and business-related guidance in decision making
  • Generate all requested reports and share with stakeholders, compile statistics, and analyze data with school leaders to drive decision making
  • Perform other duties as assigned.
Ideal Candidate

Bachelor’s Degree required, preferred in the areas of Business, Accounting, or Finance

Preferred Work Experience:

  • Demonstrated success in monitoring budgets of $1 million and contracts of up to $10,000
  • Demonstrated success in managing up to 5-10 staff members
  • Experience working in educational settings
  • Experience with staffing processes and general human resource procedures
  • Experience managing operations and facilities
  • Experience managing and enforcing service level agreements and contracts
  • Experience implementing and monitoring work procedures

Preferred Skills:

  • Bilingual in English and Spanish strongly preferred
  • Familiarity with public school financial, personnel, and legal codes, laws, requirements
  • Strong interpersonal and communication skills
  • Strong organizational and analytical skills
  • Self-motivated and persistent in overcoming obstacles
  • Demonstrated drive and commitment to achieve results
  • Ability to multi-task and seek input from others
  • Ability to hold employees accountable for results
