Summary
The primary responsibility of this role is to provide officer-level administrative and secretarial support for the Group Vice President and Chief Social Innovation Officer with global travel demands and geographically dispersed staff.
Responsibilities
* Respond appropriately to Client requests * Manage calendars by scheduling meetings (calls, video conferences, web meetings) across multiple time zones, including internationally with Japan. * Email support by maintaining contacts lists and monitoring messages for prioritization and response and interacting appropriately with outside influencers, Toyota team members at all levels and vendors/agencies * Arranging dynamic travel schedule for domestic and overseas meetings, including visa applications, troubleshooting with travel agency/airlines * Timely/accurate submission of expense reports in multiple currencies, P-Card transactions, work time entries * Establishing excellent rapport with internal/external stakeholders; negotiating commitments to mutual benefit * Document creation to support executive briefings and staff meetings
Ideal Candidate
* Possess the ability to learn the work patterns of the executive and anticipate needs as well as work independently with minimal direction when executive travels * Communicate effectively across cultures to coordinate with Japan counterpart (in English) * Ability to handle multiple scheduling requests from the organization with speed and accuracy * Be high-energy, self-motivated, and professional with strong initiative for improving processes * Be discreet and sensitive in dealing with matters of a confidential or private nature * Have excellent interpersonal skills and telephone skills when interfacing with all levels of team members * Have strong written and verbal communication skills * Possess 5 or more years of executive administrative support experience * High School diploma or GED required, college degree a plus
