Summary
The Executive Assistant is a key member of the Executive team and will be responsible for performing high-level administrative and project assistance for the executive staff. We are looking for a dynamic, professional individual with a minimum of 10 years experience supporting senior executives. Small company experience is desired.You must be a strong multi-tasker with initiative and a very positive service attitude.
Responsibilities
You will be responsible for handling a wide variety of tasks, including managing schedules, email, domestic and international travel, T&E, meetings, conferences, event planning and execution, and supporting the Exec team as needed. You will also work closely with your teammates to keep the Tile office running smoothly. You must be able to communicate effectively and have great organization skills and experience as you will be interfacing with internal and external executives and guests. In your role you will handle confidential and critical assignments, requiring discretion and judgment. * Manage executives’ calendars, plan and schedule meetings/appointments – for up to 5 executives. * Maintain executives’ workflow; keep track of schedules and deadlines * Correspond / coordinate with high-profile contacts and company executives * Organize and maintain confidential files and records * Welcome guests by greeting them, in person or on the telephone * Screen phone calls and reviews correspondence, using discretion to direct items to the appreciate staff for action * Manage projects and conducting research * Prepare and edit correspondence, reports, presentations * Make travel and guest arrangements (domestic and international) * Available early and late hours of the day * Assist on special projects * Help with office duties as needed
Ideal Candidate
* Bachelor’s degree * 10+ years experience as an executive assistant for senior executives * Experience in a fast paced, high growth environment * Must be high energy, and thrives as part of a motivated group; flexibility to respond 24x7 when executives are traveling or preparing for important meetings * Working knowledge of general business administration practices and procedures * Excellent project management skills * Experience with MS Office Suite, and Google Docs * Ability to multitask and work independently * Flexible and willing to handle an ever changing work environment * Ability to handle complex and extensive scheduling * Resourceful in finding information * Demonstrates the following traits: dependability, accountability, and reliability * Proficient administrative writing skills * Ability to handle sensitive/confidential situations or documents * Acute attention to accuracy and detail in all aspects of responsibilities * Has great time management skills * Extremely organized * Great problem solving skills * Positive attitude
