Summary

The Executive Assistant to the Executive Committee (EC) and plays a highly visible and key support role. The position requires an experienced, organized, and detail-oriented self-starter who enjoys supporting organizational leadership in a variety of ways. This role requires someone who is flexible, thrives in a fast paced environment while being resourceful and has the ability to multi-task while meeting tight deadlines.

Responsibilities

Key responsibilities for CEO include:

  • Supports the CEO directly and as such manages a variety of projects
  • Actively manages the CEO’s calendar, appointments and scheduling including making him aware of both his business and personal commitments
  • Provides "Project Management" assistance to the CEO on a variety of topics, including monthly all employee meetings to review company health and goals, speaking engagements, board meetings and the corporate calendar
  • Produces/Project manages the design and production of the quarterly report.
  • Coordinates with internal communication team to promote consistent messaging from executive committee.
  • Proactively works with EC Executive Committee to ensure they meet deadlines on key deliverables established by the CEO
  • Builds relationships externally with key vendors and clients to assist the CEO with Client Management activities
  • Represent the company and its culture well given this role can be the first point of contact for clients and potential clients
  • Sets up meeting rooms and ensures food and/or beverage are appropriately ordered for all meetings
  • Coordinates all travel arrangements and related travel itineraries and agendas.
  • Submits timely expense reports.
  • Other key responsibilities as assigned by the CEO

Key responsibilities for Executive Committee include:

  • Supports the Executive Committee directly and as such manages a variety of projects
  • Manages calendar, appointments and scheduling
  • Provides "Project Management" assistance to the Executive Committee on a variety of topics, assisting as needed to ensure key deliverables are met in the organization
  • Proactively works with Executive Committee to ensure they meet deadlines on key deliverables established by the CEO
  • Works collaboratively across the organization to assist in the coordination of meetings, projects, and deliverables as assigned by the Executive Committee
  • Sets up meeting rooms and ensures food and/or beverage are appropriately ordered for all meetings
  • Coordinates occasional travel arrangements and related travel itineraries, agendas, and expense reports.
  • Other key responsibilities as assigned by the Executive Committee

Additional responsibilities and expectations include:

  • Filling in at the main reception desk as a back-up when needed
  • Providing support on certain projects for The Nerdery’s owners
  • Standard hours Monday – Friday from 7:30 am – 4:30 pm
  • May be required to work more than 40-hours/week
  • May be required to be available outside of standard hours for ad hoc business purposes
Ideal Candidate
  • Understands the importance of superb client service as a representative of The Nerdery
  • High energy, positive personality with enthusiasm
  • Experience with managing Google calendars
  • The ability to work independently and appropriately handle confidential information
  • Excellent written & verbal communication skills
  • Independent judgment to plan, prioritize and execute a diverse workload
  • The ability to identify and resolve problems effectively
  • Demonstrated poise, tact and professionalism
  • The ability to meet tight deadlines and be nimble enough to change direction multiple times within a day, week or month
  • Highly proficient with PowerPoint and other presentation software
  • Desire to learn new technologies
  • Creative thinker who is not afraid to experiment with new ways of doing things

Education/Experience

  • Minimum of 10 years of executive administrative support experience in a fast paced service business
