Summary
Ryan Specialty Group, LLC is a global organization comprised of wholesale insurance brokerage, Managing General Underwriters, and syndicates to Lloyd’s of London. RT Specialty, one of premiere business segments, seeks an Administrative Assistant to join our growing, fast-paced office located in Irvine, CA.
Responsibilities
* Schedule and organize complex activities such as meetings, office events, holiday parties. * Serve as phone back up for receptionist for lunch, days off and any time during the day, when needed. * Sort, order and distribute mail, office supplies, card orders and packages, determine level of priority. * Set up/break down, maintain and troubleshoot office equipment for new hires and terminations. * Filing, labeling and reporting as needed. Handle confidential and non-routine information. * Work independently as well as within a team. * Act as primary liaison for vendors, including building maintenance. * Assist with special projects, at the request of Regional Operations Manager, which may include: receiving monthly financial statements, auditing invoices, corresponding with AP as well as Premium Accounting. * Type and design general correspondences, memos, charts, tables, graphs, business plans, etc. Perform additional duties as assigned.
Ideal Candidate
* The successful candidate will have demonstrated exceptional skill and delivered high impact service in an Administrative Assistant role at a complex high performance organization. * The successful candidate will be able to anticipate and provide the appropriate level of support to Senior Management as needed. * The individual will be comfortable applying a high degree of independent judgment, initiative, and knowledge to resolve complex challenges within the business context. * Additionally, the ideal candidate will have a proven track record of success, excellent verbal and written communication skills, and a commitment to teamwork. * High school diploma or equivalent. * Bachelor’s degree preferred. * Position continually requires demonstrated poise, tact and diplomacy. * Must be able to interact and communicate with individuals at all levels of the organization. * Proficiency with MSWord, Excel, Access, PowerPoint. * Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. * Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. * Strong verbal and written communication and presentation skills. * Ability to anticipate needs effectively and deploy projects in a timely fashion. * Must be highly organized and self motivated.
