Senior Administrative Assistant

- Perform administrative functions for vice presidents of Gibraltar Ventures including but not limited to travel and meeting planning, email monitoring and calendaring activities, attendance tracking, expense and invoice processing.
- Responsible for logistics coordination for video and teleconference calls and meetings for individuals with demanding schedules.
- Perform administrative duties including scanning, photocopying, faxing, filing, and records retention activities as required.
- Responsible for technology procurement orders, information security requests and inventory tracking
- Coordinate on-boarding of new hires (including technology, HR policy and procedure, training and security)
- Assume additional tasks including managing special projects as requested
- Minimum of an associate's degree is required
- 5 years of practical business experience
- Demonstrated intermediate to advanced level proficiency in Microsoft Office suite, all applications
- Mac experience preferred
- Works independently but also as a strong team member
- Strong communication and interpersonal skills to support the team
- High degree of attention to detail
- Excellent organizational skills with the ability to successfully manage multiple priorities
- Demonstrated ability to proactively identify and recommend process improvements
- Strong listening skills with the ability to analyze the situation and take appropriate action
- Ability to work under tight deadlines and in a fast paced, agile environment
- High degree of motivation and ability to quickly learn
- Flexibility to work overtime when necessary
- Demonstrated ability to maintain confidentiality and professionalism at all time
