Summary
As an Executive Assistant, you will be primarily responsible for relieving the Chief Executive Officer of certain administrative duties and handling a variety of situations, including the preparation of time sensitive and confidential materials along with preparing travel arrangements, reserving/coordinating appointments and resolving scheduling or other similar conflicts.
Responsibilities
* Manage calendars in Microsoft Outlook and act as gatekeeper * Prepare, proofread, verify, and assemble information for reports and complex correspondences * Schedule all travel arrangements and provide itineraries, tickets, transportation information/confirmations, and required materials for trips * Participate in the preparation and administration of budget and control activities * Compose memos and reports, and create presentations * Assist in managing business expenses for the CEO, including the preparation of expense reports and invoice tracking * Arrange and support key meetings, including scheduling and logistics, consolidating presentation materials, arranging audio/visual needs, and occasionally taking meeting notes * Act as a liaison between the CEO and high-level personnel within and outside the organization * Receive and screen incoming phone calls and provide e-mail management support in Outlook * Perform other duties/ad hoc projects as assigned
Ideal Candidate
* High school diploma/GED * Minimum of 5 years related experience required (3-5 years of executive administrative assistant experience strongly desired) * Proficiency with Microsoft Office applications (Word, Outlook, PowerPoint, Excel) * Strong time management and organizational skills * Exceptional verbal, written and interpersonal skills are crucial for this role * Dependability and an eye for detail * High comfort level of working in a fast paced environment * Willingness and ability to work overtime as needed
