Summary
This Operations/Executive Assistant position will be working directly with the C.E.O. as their executive administrative assistant. This position will support the C.E.O. in assisting them with forming, fulfilling and handling accounting and financial reporting, contract negotiations and contracts, information management and office support.
Responsibilities
* Calendar scheduling for the C.E.O., travel, expense reporting, calls, communication, email and respond to their emails accordingly as an Operations/Executive Assistant * Will execute financial practices in analyzing business plans, oversee the company’s budget on a monthly and daily schedule * Review and perform execution of legal documents, business contracts/documents as it is linked to business equity investments, real estate dealings, disposition, leasing and management issues * Will support due diligence in managing transactions for tracking purposes * Will construct and maintain an operations manual for all systems documentation and management policies * Will be appointed as the hiring consultant- will train individuals to be responsible in keeping account of all administrative & support team associates that will include property managers, research, legal and accounting employees as an Operations/Executive Assistant.
Ideal Candidate
* Professional communication skills in handling confidential material and information * Extraordinary relationship building skills in working with outside financial & legal consultants * Organize and create general correspondence- oversee and approve outgoing communications for the CEO and their signature. Inspect email messages and reply to individuals immediately * Oversee expenses for the C.E.O.; coordinate meetings, events, create agendas and schedule travel plans for the C.E.O. * Project management for timelines and production schedules * Must have excellent accounting skills, legal skills, real estate transaction skills * Require to have incredible organizational and PM skills along with proficient communications abilities * Calm nature under pressure – ability to lead a team effectively and succeed * Needs high degree of initiative – excellent judgment and a service based personality * Bachelor’s Degree preferred, 4 years of accounting and 2 years as an Executive Assistant * MS Office proficiency * Office 365 skills a plus
