Summary
The Global Services Group has a current opening for a Senior Administrative Assistant at our Customer site in McLean. Provide executive administrative support to ODNI/P&S and COS. Calendar/meeting scheduling; coordinate transportation for senior staff; answer phones; assign and track actions/taskings to staff from the DNI Executive Support Group, Office of Legislative Affairs, and other internal/external organizations.
Responsibilities
Schedule meetings, book conference rooms, and send meeting invites (date, location, purpose, etc.). Anticipate schedule conflicts, preparation and travel time, and other similar events which might impact schedule. Provide read-aheads, track attendance, VIP parking, seating chart, table tents, (if applicable). Handle Legislative Referral Memorandums (LRM) -task appropriate divisions based on the subject matter and close action with Office of Legislative Affairs (OLA). * Arrange working group meetings to discuss development, collection and analysis of metrics * Coordinate advisory groups and other IC plans outreach efforts * Print ODNI news clips for Assistant Director of National Intelligence (ADNI) every morning. * Print and distribute daily calendars for ADNI, Deputy Assistant Director of National Intelligence (DADNI) and Director, Information Sharing Division- copies of ADNI and DADNI calendars to Chief of Staff (COS) and Executive Support Assistant (ESA). * Answer phones for the Policy & Strategy (P&S) Front Office (FO) and Deputy Intelligence Community Information Sharing Executive (IC ISE). * Perform P&S Executive Secretariat (ES) functions including the following * Assist divisions with preparing correspondence packages for review by the P&S FO * Proofread and edit final packages to ensure format, content is accurate and complete * Send final ES packages to the Exec Sec for review and signature by DNI's FO * Distribute P&S packages internally and externally * Backup the P&S ESA. * Provide admin support to the IC ISE team and the P&S FO. * Review, submit, track and de-conflict transportation requests. * Submit Information Technology (IT) and Service Order Request Database (SORD) requests. * Update training spreadsheet for P&S FO and IC ISE employees. * Order supplies and keep supply cabinet organized. * Send/receive documents via fax (secure and unclassified) * Scan documents into PDF files. * Handle visitor requests and clearance submissions. * Print and prepare briefing books. * Track Information Sharing meetings on planning calendar. * Attend weekly IC ISE staff meetings. * Perform other administrative duties as assigned.
Ideal Candidate
**Minimum required qualifications:** * HS degree and 5+ years’ experience providing administrative support to IC agencies * Knowledge of the ODNI's organization, administrative policies, and protocol. * Excellent and professional verbal/telephone skills * Demonstrated ability in advanced writing, editing, proof reading, and presentation skills. * Working knowledge and experience using Lotus Notes, MS Word, Excel, & PowerPoint * Demonstrated ability to contribute to and complete tasks associated with administratively supporting the ODNI to satisfy organizational responsibilities * Ability to work and adjust in a fast-paced environment * Ability to work closely and collegially with different offices across the ODNI and the IC. **Additional desired qualifications:** * Previous administrative position supporting senior ODNI Executives * Experience supporting DDNI, ADDNI, ADNI, or equivalent level senior executive as a senior executive administrative assistant or similar capacity * Associates Degree or certification in business, administrative, or similar area of study
