Summary
JLL is looking for a Brokerage Coordinator to join its winning team of professionals in its Phoenix office. This position will be responsible for providing full administrative and marketing support to key executives in the organization. This position will work solely with our data center/mission critical group (DCS), collaborating in a fast-paced, ever-changing sector of real estate. Duties performed may include a broad range of complex tasks involving confidential or technical information. This position requires a person who can be responsible for prioritizing projects in order to meet multiple deadlines in a fast-paced, team-oriented environment.
Responsibilities
* Maintain a high level of professionalism and integrity as a team player and possess the ability to work for a team of brokers including communication with external clients and vendors with minimal daily supervision. * Manage client/prospect contact database, schedule follow-up meetings with clients and prospects, and administer marketing database * Perform business support function activities for broker team; intuitive calendar management, meeting planning, on and off-site travel, expense management and other general duties. * Create, design and present all marketing collateral using Adobe Suite programs (specifically InDesign); such as property brochures, email blasts, presentation placemats and banners, market overview books, binders, graphs and client reports. * Create, maintain, and promote best-in-breed print and web-based marketing materials and reports to support the DCS group * Prepare and distribute marketing materials/packages including maps, aerials, team marketing pieces, flyers, submarket updates, market analyses, etc. * Produce documents such as lease proposals, letters of intent, property surveys, general correspondence, perform leasing analysis using excel and similar programs, standard reports in accordance with corporate standards and guidelines. * Prepare technical writing passages for website and brochure content. * Promote the broker team on social media through updates to LinkedIn, Twitter, etc. * Establish and maintain record keeping; tracking commissions, invoices and systems entries. * Have self-initiative to seek and prepare research on technology platforms (data center specific). * Serve as main point of contact between Broker Team, Research, Marketing and Finance and coordinate each division’s responsibilities as they pertain to a specific task * Be instrumental in assisting the team with the development and implementation of its strategic business/marketing plan
Ideal Candidate
* Minimum two years of marketing support experience inclusive of general marketing duties and client interaction, preferably involving a real estate environment. * Real Estate license not required but preferred * Demonstrated capacity to multi-task in a fast-paced environment * Must be an extension of the principal and handle situations proactively and intuitively * Must be flexible and highly motivated with a willingness to take initiative * Ensure that strong attention to detail is maintained at every level * Strong interpersonal skills and strong ability to work collaboratively with teammates and clients * Excellent letter/email writing ability including strong proofreading and editing capabilities * Optimistic and outgoing personality * Excellent follow through, must be a task master * Polished and professional * Work with integrity and confidentiality * Develop effective and constructive solutions to challenges and obstacles with the ability to complete projects on time * Demonstrate advanced proficiency in current Microsoft Office Suite applications (Word, Excel, PowerPoint and Outlook) as well as Adobe Creative Suite (specifically InDesign and PhotoShop) with the capability to master company specific software and databases. Proficient with web-enabled systems. * Knowledge of website building and coding helpful but not required.
