Summary
We are looking for a dynamic professional to play a central role for several brokers in managing their deal transactions, client interaction, new business activities, moderate financial management, customized marketing materials and general administrative support.
Responsibilities
**Brokerage Coordinator Duties and Responsibilities:** * Maintain a high level of professionalism and integrity as a team player and possess the ability to work for a team of brokers including communication with external clients and vendors with minimal daily supervision. * Manage client/prospect contact database, schedule follow-up meetings with clients and prospects, and administer marketing database. * Create and design presentations in Power Point and Adobe Suite programs; such as property brochures, email blasts, presentation placemats and banners, market overview books, binders, graphs and client reports. * Perform business support function activities for four brokers; intuitive calendar management, meeting planning on and off-site, travel and expense management and other general duties. * Produce documents such as lease proposals, letters of intent, property surveys, general correspondence, perform leasing analysis using excel and similar programs, standard reports in accordance with corporate standards and guidelines. * Creation of modest marketing materials to include PowerPoint, introduction letters, case studies, company portfolios, and placemats. * Establish and maintain record keeping; tracking commissions, invoices and systems entries. * Be instrumental in assisting the team with the development and implementation of its strategic business/marketing plan. **Team Lead Duties and Responsibilities:** * Support Broker Lead and revenue producers * Provide operational support and oversees office operations including managing staffing needs consisting of hiring, onboarding, training, goal setting, and performance management while providing leadership, decision making and support to upper management. * Serve as main point of contact for office and infrastructure teams, including Research, Marketing and Finance * Supervises direct reports and is responsible for coaching, mentoring and developing the administrative professional to reach full potential and manage the workload of Administrative Assistants and Brokerage Assistants. * Assist with the onboarding of new hires and exiting of employees. * Interface, coordinate and manage infrastructure activity to meet business needs and complete projects and priorities. * Assume lead role on straightforward projects and/or managing one or several components on a large, complex projects. * Translate Leaderships business objectives into strategies and execute those strategies. * Recognize the broader implications of a project and identify all that should be done, not just what was assigned * Independently execute a large number of complex, large and mid-size projects with a high level of proficiency and knowledge. * Embody the traits below in all aspects of the position; * Leadership - Able to effectively supervise and manage colleagues to bring out the best in performance and client service. * Credibility – Able to establish trust and gain respect. * Teamwork –Able to work with a group of people to develop a common purpose and approach to achieve a common objective, and to create mutual accountability. * Getting Things Done Right – Able to perform work efficiently, effectively, and thoroughly. * Judgment – Able to anticipate and to modify actions, decisions and personal interactions in accordance with situational requirements.
Ideal Candidate
* Bachelor’s Degree preferred, but not required * PeopleSoft experience is a plus * Minimum two years of real estate support experience inclusive of general marketing duties and client interaction * Polished and professional, must work with integrity and confidentiality * Demonstrated capacity to multi-task in a fast-paced environment * Must be an extension of the principal and handle situations proactively and intuitively * Must be flexible and highly motivated with a willingness to take initiative * Ensure that strong attention to detail is maintained at every level * Strong interpersonal skills and strong ability to work collaboratively with teammates and clients * Excellent letter/email writing ability including strong proofreading and editing capabilities * Optimistic and outgoing personality, excellent follow through, must be a task master * Develop effective and constructive solutions to challenges and obstacles with the ability to complete projects on time with diverse teammates * Demonstrate advanced proficiency in current Microsoft Office Suite 2010 applications (Word, Excel, PowerPoint and Outlook) as well as have the ability to master Adobe Creative Suite (specifically InDesign) with the capability to command company specific software and databases.
