Responsibilities
  • Provide support to General Manager with calendar management, general office duties to include but not limited to typing, filing, organization, ordering of office supplies, planning travel and related daily tasks.
  • Responsible for high level correspondence related to meeting planners and corporate executives and guest problem resolution.
  • Assist Director of Sales & Marketing with processing of commission payments.
  • Provide support to Director of Finance with accounting duties including but not limited to, invoice processing, invoice approvals in accounting system (SAP), creating P.O.’s, payment of non-food invoices, end of month reconciliations and other accounting tasks to be determined by DOF.
  • Processes check payments and deposits.

Essential Function

  • Create morning packet for stand up meeting – DBS, INews, Flash, VIP Report, Calendar etc.
  • Briefly discuss calendar and plans for the day
  • SAP approvals
  • Invoice processing
  • LMS payroll reporting
  • Create INews document
  • On an as needed basis daily or weekly:
  • Commission processing
  • Check deposits
  • Create amenities and VIP welcome cards
  • Ordering of supplies including business cards
  • Expense report
  • Collect and file reports for binder
  • Problem resolution involving vendors or guests
  • Process gift certificates

Minimum Qualifications - Education & Experience

  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.
  • Must be able to read and write to facilitate the communication process.
  • Require good communication skills, both verbal and written.
  • Must have ability to maintain a high degree of confidentiality.
  • Must hold themselves to the highest standards of professional appearance.
  • Must possess excellent analytical abilities and keen attention to detail.
  • Must possess computer skills and detailed knowledge of various computer programs including but not limited to Microsoft word, Excel, OPERA Delphi, SAP, LMS, On Track and Outlook and be willing to learn new systems as needed.
  • Desire to participate as part of a team.
