International Paper (India) Private Limited produces writing, printing and copier papers at its two manufacturing units in Andhra Pradesh, which have a total paper production capacity of 240,000 metric tons per year.
Summary
Candidate must have substantial experience in an administrative position. In addition, this person must be discreet, poised and able to interact skillfully with members of Congress, senior management and external customers. This position provides extensive administrative support for a busy Washington, DC government relations office with representation in state capitols and Brazil, Russia, China, India and Europe. This role includes assistance in running office operations smoothly and efficiently, creating and maintaining calendars, scheduling, controlling phones, handling correspondence, managing frequent projects and reports, travel arrangements and meetings for single or multiple managers. Position calls for a great deal of flexibility, enthusiasm and energy; must be a team player.
Responsibilities
- **Scheduling:** Routinely schedule and maintain calendar of appointments, meetings and travel itineraries, and coordinate related arrangements for Vice President and Director. Upon request, schedule meetings and coordinate travel arrangements for other Government Relations staff. Attention to detail is essential and significant follow-up is required. - **Correspondence:** Prepare or draft correspondence, memoranda, reports, etc. - **Filing:** Coordinate common files (hard copy and electronic files) and key source documents. - **Accounting:** Must possess general competencies to perform expense account processing and reconciliation and other budget-related assignments. - **Materials and Reports:** Manage company’s facility data reports and organize by state and Congressional District, compile weekly Hill meeting reports, and update issue materials for meetings with members of Congress, the Administration and various embassies. Coordinate and edit weekly report of state activities. - **Organization:** Must have excellent organizational skills and be able to prioritize workload to accommodate assignments from multiple managers upon request. - **Communication:** Excellent telephone and communications skills are mandatory. Image: Outstanding interpersonal skills are essential in order to foster and maintain a positive and professional image of the department and the Company. * **Discretion:** Must maintain strict confidentiality regarding all matters handled through the VP's office.
Ideal Candidate
- College degree preferred, but not essential. - Hill experience is a plus. - Excellent PC skills including Microsoft Office (Outlook, Excel, Word, PowerPoint); Internet savvy; Knowledge of databases is a plus. - Must be team player with a high degree of initiative and professionalism, willing to assist at "crunch" times (before meetings or other important deadlines). - Must be an extremely organized, reliable individual. - Successful candidate will possess a solid core of common sense, a positive attitude and the willingness to ask pertinent questions. - Must have excellent written and verbal communication skills; ability to interact effectively and courteously with all levels of employees, consultants, customers, Congressional staff, members of Congress, Administration and federal government officials and staff, and members of the business community. - Must have 3-5 years of experience in an executive level support position. **Competencies:** * Organizing * Action Oriented * Planning * Composure * Written Communication * Interpersonal Savvy
