To support the home office maintenance staff and ensure efficient, timely and competent administrative tasks for the department and all facilities managed by Holiday Retirement and related business entities.
Essential Job Duties and Responsibilities
- Provide administrative support to department staff members; answer phones, file, use copier, fax machine and other office equipment, as needed.
- Produce and distribute professional correspondence as needed by the Maintenance Director and Assistant Director, and other staff when needed.
- Track capital improvement projects.
- Assemble training notebooks and other materials, as requested.
- Answer phone calls from Community Management Team members and others and provide information as requested.
- Order departmental supplies, as requested.
- Perform other duties as assigned by the supervisor.
Other Job Duties and Responsibilities
- Perform all work assigned for the agreed upon monthly wage accepting no additional payment or non-perishable gifts from residents, vendors, Facility Management or others.
- Meet the assigned work-hour requirements of the job. Regular attendance is required.
- Ability to keep all business and operations information confidential.
- Desire and ability to be a team player.
- Effectively communicate in English.
- High school graduate or equivalent.
- Minimum four years administrative office experience and/or college.
- Excellent verbal/written communication and customer relations’ skills.
- Demonstrates time-management and multi-tasking skills.
- Excellent organizational skills with ability to work in a fast-paced office, meet deadlines and be flexible.
- Proficiency with Microsoft Word, Excel and Access.
- Ability to produce accurate professional-looking letters and documents; proofread letters and documents and question discrepancies; ability to transcribe dictation.
- Must demonstrate the ability to support, practice and deliver the “Holiday Touch” 100% of the time.
- Must demonstrate high standards of ethics and personal accountability.
