Job Summary
The Development Associate (DA) plays a vital role in HEBSV’s individual giving programs and is responsible for constituent information management, gift processing, prospect research, and donor stewardship. The DA will ensure accurate recordkeeping in HEBSV’s Raiser’s Edge donor database and will oversee a team of data entry volunteers. The DA will also implement effective donor cultivation through points of entry, such as events, volunteer opportunities, and other innovative programs.
Responsibilities
Gift Processing/Database Management (75%)
- Enter and code all donations (mail, web, event, in-kind, vehicle, etc.) and generate thank you letters. Ensure that donors are acknowledged in a timely and consistent manner.
- Record volunteer contact information and hours.
- Collaborate with data entry volunteers in Oakland and Milpitas offices to complete weekly gift batches and volunteer time sheets.
- Process requests to remove contact information from mailing lists etc.
- Maintain and improve the integrity of HEBSV’s donor data through remediation projects.
- Work with other department peers to ensure accurate record keeping of corporate, faith, foundation, and youth accounts.
- Conduct periodic reconciliations with the Finance department to ensure accurate record keeping between both departments.
- Assist DSM in implementing necessary global changes and imports to the database.
- Institutionalize all database protocols through continual revisions to database manuals and written documents.
- Conduct occasional database trainings with other Raiser’s Edge users with particular attention to HEBSV protocol.
Prospect Research (10%)
- Assess data and engagement trends of active constituents in Raiser’s Edge and identify donor prospects.
- Coordinate with DSM on importing wealth scoring information from Blackbaud Essentials.
- Conduct wealth screenings through ResearchPoint to qualify prospects for mid-level and major donor cultivation.
- Prepare prospect research reports for DSM and Development Officers.
- Analyze research and provide individual giving team with recommendations for appropriate solicitation amounts.
Donor Cultivation (10%)
- Organize and host monthly Hearts for Homes tours. - Provide proactive follow-up for tour attendees to increase likelihood of future engagement.
- Develop strategies to cultivate volunteers, event attendees, and other constituent to increase likelihood of donor conversion.
- Support tabling and informational events when needed.
Donor Stewardship (5%)
- Write and update acknowledgement letters with pertinent information of current HEBSV projects that reflects the messaging of other communications (direct mail, e-news, etc.)
- Respond to donor inquiries concerning tax receipts.
- Ensure new donors receive welcome informational e-mail/letter.
Qualifications
- Bachelor’s degree.
- Two or more years of work experience in an office environment. Nonprofit background preferred.
- Excellent organizational skills with a meticulous attention to detail.
- High-level computer literacy skills. Experience with a donor database a must, ideally Raiser’s Edge.
- Excellent written and oral communications skills.
- Strong team player who also works well independently.
- The capacity to develop and maintain positive and productive relationships with donors, volunteers, vendors, Board of Directors, and staff. Commitment to affordable housing and to HEBSV's mission.
- Full-time, flexible hours. Some weekday evenings and weekends required.
- Ability to commute regularly between Oakland and Milpitas offices and offsite tour locations.
- Ability to travel to any location of our three-county service territory when required.
