Summary

Fortune 500 Company located in Houston, TX seeks a Senior Administrative Assistant for a long-term, temporary position expected to last six (6) months.

The primary role is to provide a combination of senior level administrative support, monitor ongoing reporting requirements, and technical issue resolution. The successful candidate will have the ability to work well under pressure while maintaining a high level of professionalism, as well as have the confidence to make informed judgment calls and be self-motivated.

Responsibilities
  • Provide high quality administrative support
  • Proactively manage diary, scheduling/coordinating internal and external meetings, conference calls and video conferences across multiple time zones; liaising with assistants from multiple teams across the firm and ensuring forward planning for meetings, events and deliverables
  • Answer phone calls, field messages, and deal with general inquiries
  • Maintain travel budget and plan, schedule travel itineraries and prepare expense reports
  • Review and handle incoming and outgoing correspondence
  • Handle and maintain confidential files in accordance with firm policy
  • Coordinate Management meetings and Global team calls; scheduling, preparing agendas, distributing meeting documents
  • Complete ad-hoc projects as necessary
Ideal Candidate
  • Prior experience in the Investment Banking Industry
  • Strong verbal and written communication skills, ability to interact comfortably with individuals at all levels
  • Excellent organizational skills with ability to prioritize responsibilities as appropriate; identify problems and seek solutions
  • High level of accuracy and strong attention to detail
  • Proactive, able to work independently to ensure all tasks are completed in a timely and orderly manner
  • Team player, able to collaborate with team members to achieve firm goals
  • Strong knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook)
  • Volunteers willingly to assist others, or assist as requested, based upon workload
  • Ability to multi-task
Compensation and Working Conditions

Additional Notes on Compensation

The hourly rate is up to $17/hour plus overtime, depending upon experience.
