Summary
Provides administrative assistance to the Sr EVP of Asset Management and CFO Location: Corporate Headquarter in Palo Alto through mid-December 2015. Thereafter, located in San Mateo.
Responsibilities
* Performs organizational and administrative duties * Manages multiple calendars and contact information, using Outlook * Coordinates travel, including transportation and hotel arrangements, and itinerary planning * Prepares expense reports * Creates and organizes correspondence files * Coordinates and schedules meetings and conference calls, including arrangement of logistics, meeting space and catering as needed * Handles high level administrative activities and confidential materials * Compose memos, letters and other correspondence * Takes detailed meeting minutes * Fields and manages incoming calls and inquiries in a professional manner * Responsible for Copying, collating, or faxing documents, and ordering supplies * Assists with PowerPoint presentations * Updates departmental information * Prepare and distribute presentations/documents for the Board, Audit committee meetings, investor and other internal meetings * Other tasks as assigned
Ideal Candidate
**Qualifications** * Education: High school diploma required, Bachelor degree preferred * Ability to read and write English; speak English and understand spoken English required * Computer proficiency in Microsoft Word, Excel and PowerPoint required * A minimum of 7 years of administrative support and/or executive assistant experience required. Work experience in real estate industry, property management field/or in a service related field preferred. * Valid driver’s license and current automobile insurance is required. **Skills** * Strong organizational, project management skills with ability to multi-task and prioritize workload * Demonstrate common sense, excellent verbal, written, and interpersonal communication skills * Work collaboratively in team environment * Ability to work independently, self-starter * Professional demeanor, reliable and goal oriented and follow through on assignments * Uses discretion when handling highly sensitive and confidential material and information
