Summary
The COPE Health Scholars Assistant assists in the operational management of the Health Scholar Program in a temporary, part-time capacity. Their work is not to exceed 20 hours per week. The COPE Health Scholars Assistant will be located at a single facility and will be assisting in key operational work as assigned by the Program Manager. The COPE Health Scholars Assistant will assist in administrative activities alongside a team of student leaders and will focus their efforts dependent on the needs of their assigned site. The COPE Health Scholars Assistant may represent COPE Health Solutions to academic institutions, government agencies, health care providers and others as needed, and adheres to legal and organizational standards regarding confidentiality.
Responsibilities
Assist with daily operations of the COPE Health Scholars Programs under the supervision of the Program Manager. The following duties are in accordance with COPE Health Solutions’ and the partner client’s policies and procedures: **Enrollment** * Develop and maintain trackers to ensure organization of enrollment processes * Prepare materials for orientation and interviews * Compose communication to applicants regarding their current status and next steps * Assist Leadership Team in ensuring that all applicants’ health records, background checks and drug screens are compliant with health system policies and are filed appropriately **File Management** * Assist COPE Health Solutions staff and Leadership Team in planning for and executing file audits of active files to ensure compliance * Assist COPE Health Solutions staff and Leadership Team in auditing SQL 1 and SQL 2 profiles to ensure accuracy * File paperwork as appropriate * Enter information into SQL 1 and SQL 2 profiles as needed **Departmental Operations** * Work with the Scholars and Leadership Team to ensure that Scholars are appropriately scheduled for weekly shifts * Assist COPE Health Solutions staff and Leadership Team to ensure that monthly hours are entered into SQL 1 and SQL 2 as appropriate and that timesheets are filed * Assist COPE Health Solutions staff and Leadership Team to ensure that all weekly trackers are completed on a weekly basis **Training** Attend and assist in the planning of quarterly Scholar training sessions **Other tasks as assigned** * Maintain an operational work plan as required by the Program Manager * Assist in ensuring Policies and Procedures for the COPE Health Scholars Programs are upheld * Attend and participate in Leadership Team and Executive Team meetings * Maintain an open line of communication up and down the chain of command including bringing all questionable or “red flag” situations and matters to the Program Manager or Regional Manager **Position Expectations:** * Assist in the efficient execution of operations of program * Meet or exceed all milestones, deadlines and deliverables of any work plan set by the Program Manager
Ideal Candidate
**Qualifications:** * Enrolled in or graduated from a college or university * Enrolled in or graduated from the Health Scholar Program * Past participation in the Health Scholar Program Leadership Team * Strong customer drive and dedication to quality and success * Excellent interpersonal, oral and written communication skills * Excellent customer service skills * Detail-oriented and able to work well independently * Able to work collaboratively and effectively while handling multiple projects on various timelines in an extremely fast-paced environment * Flexible with work hours, able to travel, and be able to work on evenings and weekends as need arises * Strong work ethic **Technical Skills:** High level of proficiency of Microsoft Office programs (Outlook, Word, Excel and PowerPoint, and Project Management)
