Summary
As the CEO’s most trusted partner, you will provide exceptional support by managing high volume business requests in a fast paced startup. You’ll be supporting everything from calendaring to reporting processes and cross-functional team collaboration, allowing you to gain exposure to all facets of the business. Last but not least, you must exhibit high EQ and a demonstrated ability to perform duties with a high level of professionalism, tact, discretion, and judgement.
Responsibilities
* Maintain sensitive and complex calendars, requiring coordination with CEO’s professional and personal calendars * Schedule domestic/international travel with the impeccable attention to detail * Ensure CEO is prepared for all meetings and events, and assist with preparation of materials * Find new and efficient ways to create and maintain systems and processes to help maximize the CEO’s time, including weekly reporting, goal setting, and team meetings * Prioritize and manage multiple projects simultaneously, proactively identifying and filling gaps * Develop a deep understanding of the team and field requests and inquiries from members, making a point to be available and approachable to everyone * Demonstrate composure, tact and flexibility, regardless of competing priorities * Backs up receptionist when needed: greet incoming clients, cover in-house logistics using various shipping carriers - UPS, FedEx, USPS and mail couriers and messengers, answer incoming calls * Maintain budgets and purchasing orders for team and company-wide events; monthly expense filing * Planning, setup and execution of company parties, management offsites, and office events * Frequent interaction and coordination with C-Level leaders and Board Members (specific experience with scheduling and coordinating board meetings is a plus)
Ideal Candidate
* Bachelor's degree with 3-5+ years in Executive Assistant position * Innate passion for learning, enjoys taking on new tasks and projects, and excels at being mindful of details * Intuitive nature and demonstrated ability to make tactful and thoughtful decisions in fast paced work environment * “No task too big or small” self-motivated mentality * Ability to handle sensitive and confidential information * Knowledge of Google Drive (Docs, Sheets, Ppt, etc)
