Summary
The Secretary greets visitors and puts them in contact with the appropriate person. Answers telephones, forwards calls, and takes telephone messages. Opens, time stamps, and distributes incoming mail. Types memoranda, letters, reports, and other documents using the latest version of WordPerfect word processing software. Files various documents in file cabinets. Works independently to perform varied clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office. Responds to routine telephone requests which have standard answers. Maintains recurring internal reports, such as time and leave records, office equipment listings, and training plans. Requisitions (orders) supplies, printing, maintenance, or other services. Maintains a close and responsive relationship to the day to day activities of the Contractor supervisor(s) and staff. Exercises involvement and judgment in handling telephone and written inquiries.
Responsibilities
* Responds to routine telephone requests which have standard answers; refers calls and visitors to appropriate staff. Controls mail and assures timely staff response; may send form letters; * As instructed, maintains supervisor's calendar, makes appointments, and arranges for meeting rooms; * Reviews materials prepared for supervisor's approval for typographical accuracy and proper format; * Maintains recurring internal reports, such as time and leave records, office equipment listings, correspondence controls, and training plans; * Requisitions supplies, printing, maintenance, or other services. Types, takes and transcribes dictation, and establishes and maintains office files. * Travel Arranger to a team that travels 40% of the time. * Other administrative duties as assigned.
Ideal Candidate
* High School diploma or equivalent * Must possess a current Department of Justice Moderate Risk Public Trust security clearance * Minimum 1 year related experience * Knowledge of Microsoft Office Suite, Outlook Email and WordPerfect * Administrative, organizational and coordination skills * Ability to maintain good relations with public and staff * Ability to work independently and as a team member * Excellent written and interpersonal communication skills * Ability to successfully complete a CGI Background Investigation to include; 50 State Criminal, Education, Employment, Credit and Driving Records Checks * U.S. Citizenship required due to nature of contract
