Responsibilities
The Lease Administrator provides support services to the CRE operation by managing and monitoring all lease administration activities. This includes providing financial information to the Controller and the Leasing Agents, and preparing leasing reports for Executive level meetings and reports. **Job Specific Responsibilities** - Update accounting software on a monthly basis for all leasing changes, including the addition of new leases, renewals and change of terms for existing leases. - Set up of newly acquired shopping centers or 3rd party managed centers in MRI, including the building, suites and leases. - Run monthly “Rent Up” procedure to post recurring tenant charges. Prepare and mail monthly rent billings. - Respond to tenant inquiries regarding rent billings and account status. - Provide support to property managers as necessary with regard to tenant accounts receivable. - Post cash receipts and miscellaneous charges to tenant accounts. - Review accounts receivable status report for all centers prior to month end to ensure accurate posting of cash receipts. - Apply prepayments and concessions monthly. - Prepare annual CAM reconciliations. This includes monthly filing of CAM backup. Respond to tenant inquiries regarding reconciliations. - Prepare real estate tax reconciliations. Respond to tenant inquiries regarding reconciliations. - Prepare annual insurance reconciliations where necessary. Respond to tenant inquiries regarding reconciliations. - Provide support during annual budget preparation for owned and 3rd party managed centers. - Provide support during annual audit as necessary.
Ideal Candidate
**Skills/Competencies** - Deadline oriented and extremely organized. - Able to handle multiple priorities at the same time, efficiently and on a timely basis. - Strong communication skills – the ability to communicate effectively with internal staff and tenants and landlords, or their representatives, for all owned and 3rd party managed entities. - Ability to work independently to accomplish a task, without supervisory assistance on routine tasks. - Ability to ‘get the job done’ and ‘do whatever it takes’ to do so. - Familiarity and ability to read and comprehend leases and financial statements. - Working knowledge of accounting related software programs such as Microsoft Windows, Microsoft Excel, Microsoft Word, and Microsoft Outlook. Experience with MRI Property Management Software and Argus helpful. **Requirements** **Education and Experience** - Business related degree or commensurate experience. - Five or more years of lease administration experience. - Property management accounting experience required **Physical Requirements** - Sitting throughout the day, working with a computer. - Repetitive movement on computer keyboard throughout the workday. - Lifting and moving files, boxes, up to 30 pounds.
