The Group Benefits Client Service Representative provides technical and service support to Account Managers for new clients, during the renewal process and for daily client service functions. This position consistently contributes to meeting/exceeding established client retention goals and is a reliable contributor to the organization as well as a consistent performer with a positive work ethic and continuous pursuit of professional development. The Client Service Representative is expected to perform and prioritize service functions on tasks and responsibilities which meet/exceed Bouchard best practices as well as build and maintain positive relationships with internal and external clients.
- Prepare renewal reviews and premium/loss summaries in accordance with timelines set by account manager
- Update future applications for renewal preparation
- Assist with the timely enrollment and terminations for worksite employees of current clients
- File and maintain all correspondence and activities in a timely manner
- Develop and maintain a positive relationship and rapport with both client representatives and benefit carriers
- Initiate/respond to/complete correspondence with client, carrier, Sales executive, colleagues and management in a timely and professional manner
- Identify and communicate issues/opportunities to Benefits Manager
- Serve as a technical resource for the Group Benefits Department
- Demonstrates ability to be approachable by all internal colleagues.
- Provide clear instructions while delegating appropriate tasks to colleagues within service team.
- Initiate and effectively communicate business process improvement strategies, providing alternate solutions
- Responsible for maintenance of policy detail and system use in accordance with Bouchard Best Practices and Procedures
- Retrieve and store in ImageRight in accordance with Bouchard Best Practices and Procedures
- Resolve complex situations on own initiative with little involvement from account manager/sales executive/manager
- Research and provide recommendations for solutions to client risk management/coverage issues and internal workflow processes.
- Receive and assist with claims
- Gather and review loss data in order to prepare detailed premium and loss summaries and be prepared to clearly explain results to client/Sales executive/marketing/carriers.
- Coordinate efforts with Account Manager and Bouchard claims representative to resolve complicated claims issues.
- Reconciles unexpected assignments/events into daily workflow
- Work follow-ups/activities the day that they are due
- Manage timetable for renewal process in order to meet or exceed established Bouchard procedures
- Maintain professional stability and tolerance in multi-task, multi-level, time-critical environment
- Project a professional, positive and enthusiastic image in the workplace.
- Take the initiative to gain proficiently with new tools/technology, as they become available.
- Must feel comfortable with carrier and client entertainment functions, i.e., business lunches, meetings, dinners
- Current Florida 2-15 License, or willingness to obtain
- College degree desirable; or equivalent combination of education and experience
- Minimum of two years industry experience preferred
- Possess skills necessary to communicate with internal and external clients, carriers and prospects
- Computer literate with working knowledge of latest Microsoft word products (intermediate to advanced level) and excel (intermediate to advanced level)
- Ability to maintain and organize electronic files on the company document management system
- Working knowledge of Benefit Point Management System, or willingness to learn
- Strong reasoning and analytical skills and ability to manage multiple tasks
- Strong organizational skills with high attention to detail
- Responsive and self-motivated team player
- Excellent telephone skills and email etiquette
- Excellent spelling, grammar and business writing skills
