Summary
Barnabas Health is seeking an experienced Legal Secretary or Executive Administrative Assistant to provide primary support to the General Counsel and the attorneys in the Legal Department. This position is located in West Orange, New Jersey.
Responsibilities
**Primary legal support to general counsel** As a Legal Secretary for the General Counsel, responsibilities shall include, but not be limited to: * All aspects of managing phone calls, including but not limited to * prioritizing, answering and screening phone calls, managing phone messages, and making calls. * All aspects of email management, including sending, printing, monitoring, screening and responding to emails as designated. * Managing legal correspondences, both external and internal, including opening mail, stamping mail, arranging mail for review. * Maintaining schedule, coordinating meetings and scheduling meetings. * Under the direct supervision of the General Counsel, prepare legal documents in proper legal format, meticulous proofreading skills. * Responsible to open new legal matters, create physical and * electronic files and to file documents, paper and electronic. * Provide any and all necessary support in General Counsel’s billing of outside counsel, submitting bills appropriately and accurately to the company’s finance departments or as designated. **Provides administrative support to legal department** As a Senior Legal Secretary for the Legal Department, responsibilities shall include, but not be limited to: * When not acting for the General Counsel shall act as another legal secretary for all other attorneys in the Legal Department and shall be responsible for all aspects of managing phone calls of the other attorneys. * Assist with any and all administrative requirements of the Legal Department, including filing physical and electronic files, making copies, sending correspondences, and any other administrative/clerical requirements of the Legal Department * Assist paralegal and all other attorneys with scheduling appointments and meetings, including but not limited to arranging for conference rooms, conference calls, and any other aspects of scheduling meetings such as travel. * Under the direct supervision of the attorneys, open new matter files, prepare legal documents and/or correspondences in proper legal format, meticulous proofreading skills, as requested. * Maintain and order any requested office supplies, including printer toners, paper, filing supplies, etc.
Ideal Candidate
* Minimum of 5-10 years of professional legal secretary experience from a large firm. * Excellent English language skills (oral and written). Excellent proofreading and editing skills. Ability to draft correspondences and documents quickly and accurately. Ability to organize documents. * Proficiency in MS software programs, including Outlook, Word, Excel, Access and Powerpoint and must be willing to master any new technology which is presented. * Must be willing to learn and master other software programs including document management software (Autonomy Worksite, Workshare and Filesite) and all aspects of the document file comparison functions (such as track changes). * Must be trained or willing to be trained in Adobe and any other software programs that the Legal Department uses or intends to use * Filing, both paper and electronic filing using Legal Department’s document management system. * Draft, proofread and/or type documents transcribed by General Counsel (on the computer or by tapes). * Excellent phone manner and skills; excellent email correspondence skills * Professional formal appearance at all times * Must demonstrate good judgment and discretion in dealing with confidential matters. * Must be punctual, organized, tidy, detail oriented and have excellent organizational skills. * Be a team player and have a willingness to provide assistance to any member of the Legal Department.
