Responsibilities
* The Management Systems & Prequalification Specialist will be a US citizen proficient in the day-to-day management of accounts on multiple third party database systems (e.g. ISNetworld, PICS, PEC, CQN, Zeflik, etc.) subscribed to globally by AECOM. This includes creating and removing client accounts and assigning permissions within the various databases, managing action items, liaising with third party database representatives to improve effectiveness and efficiencies, directing client communications to appropriate AECOM contacts, efficiently obtaining required data for submission, proactively maintaining compliance through timely document submission, and responding to requests for information as it relates to the various third party database applications. * The Management Systems & Prequalification Specialist will also support administration of the prequalification process. This includes correctly assessing prequalification questionnaire requirements for appropriate responses in relation to global operations and/or to Business Group specific data and information, providing timely and consistent Safety, Health and Environment (SH&E) responses, supplying requested documentation, and appropriately maintaining the applicable files. * The Management Systems & Prequalification Specialist works with various internal and external personnel to obtain required data and information and to provide requested data and information. AECOM personnel, includes, but is not limited to, Client Account Managers, Project Managers, Operations Managers, SH&E Managers, and Marketing and Procurement, Insurance, and Corporate SH&E Technical Solutions personnel. The Management Systems & Prequalification Specialist will also work with external organizations such as insurance brokers and third party database representatives. * The Management Systems & Prequalification Specialist will provide administrative support associated with the SH&E management system including document formatting, proofreading, publishing, information management, etc.
Ideal Candidate
* Bachelor’s degree or equivalent * US citizenship required * Demonstrates ability in strong communication skills and analytical skills * Ability to maintain business etiquette through emails, telephone conversations and in meeting environments * Proven attention to detail * Proficiency in Microsoft Office suite, specifically Word, Excel and Power Point * Ability to work responsibly, problem solve and adhere to policy even when under pressure * Proven ability to prioritize requests * Proven ability to maintain confidentiality * Day-to-day management of accounts on multiple third party database systems * Support administration of the prequalification process with the provision of SH&E responses * Provide administrative support associated with the global SH&E management system * Maintaining all relevant documentation on the Management Systems & Prequalification shared drive * Informing and updating management of all urgent issues. * Effective communication regarding requests and the status of requests * Other skills as needed to perform the expected tasks * Minimum 2 years of experience in deciphering and meeting third party database requirements * Minimum 2 years of experience in supporting the administration of prequalification SH&E requirements * 2+ years of experience in Microsoft Office Publisher, Sharepoint Workspace, and Visio * Global SH&E regulatory knowledge
